It stores no readings, no as-found or as-left values, no tolerances, no pass or fail status, no instrument serial numbers and no certificate numbers, and it has no status column at all. It does not fit a department that needs a full asset register with serial numbers and cost history, calibration results and tolerances recorded against each instrument, automatic next-due-date generation, overdue escalation, work-order routing, or a record that has to satisfy an external audit on its own. It is not a substitute for a CMMS or a quality-management system. How to Use the Medical Equipment Calibration Calendar in Excel

  1. Unzip the download and open the .xlsm file in Excel for Windows. Click Enable Content when the yellow macro bar appears – the buttons and the entry form will not work without it.
  2. Open the Setting sheet. Set the Year (2021-2051), the month the calendar starts on, the day the week starts on, the two highlight weekdays and a colour theme.
  3. Go to Events and clear the 100 sample rows once you have looked at how they are written.
  4. Click Add New Record and enter your own checks: date, time, event name, location, description. The Day column fills itself.
  5. Use Monthly View for the workshop wall print, Daily View for the round sheet – set a Start Date and an End Date – and This Month for the counters.
  6. Save as .xlsm. Saving as .xlsx silently strips the macros and the buttons stop working.

Microsoft’s own guidance on enabling macros covers the security prompt if your IT policy blocks it.

Arun, biomedical engineer in a 200-bed hospital. Does this make my calibration programme compliant with any standard or accreditation?

No. It is a scheduling and record-keeping calendar and nothing more. It carries no certification, accreditation or conformity claim, it is not a medical device, not a quality-management system and not a CMMS, and it does not perform, validate, witness or certify any calibration. Your calibration programme, the competence of whoever performs the work, the evidence you retain and the standards, regulators and accreditation bodies that apply to you all remain entirely your responsibility.

Does it store calibration readings, tolerances or a pass/fail status?

No. The Events sheet has seven columns – ID, Date, Day, Event Name, Time, Location, Description – and no field for an as-found or as-left reading, a tolerance, a result, a status, an instrument serial number or a certificate number. The descriptions in the sample data say what the check involves; they hold no measured value. Keep the results in your own governed records.

Does it hold any patient data?

No, by design. There is no patient name, patient ID, MRN, date of birth, diagnosis or clinical note anywhere in it – not on the Events sheet, not on the entry form, not in the sample rows. It is an ordinary Excel file with no access control, no encryption and no audit trail, so do not add any: anyone who can open it can change any row without trace.

Will it calculate the next due date from a calibration interval?

No. There is no recurrence generator and no interval field. You enter each date, or copy a block of rows on the Events sheet and change the dates. The “Q1 / Q2 / H1” wording in the sample event names is just text a human typed.

Does it warn me when something is overdue?

No. There is no due-status logic, no overdue flag, no colour rule for a missed date and no reminder, email or SMS. This Month’s Next 7 Days counter is the only forward-looking number, and it counts upcoming entries, not late ones.

What happens if two checks fall on the same date?

Daily View and This Month list all of them. Monthly View shows only the first and writes an “N more…” flag in that cell, because it looks the date up rather than filtering it. The 100 sample checks sit on 100 different dates, so you will only meet this once you start entering your own.

Does it work on Mac, on the web or on a phone?

It is built for Excel for Windows desktop. The views open elsewhere, but the VBA entry form and the buttons need Windows Excel with macros enabled. Excel for the web will not run them at all.

Can I change the sample data, the departments, the colours and the year?

Yes. Everything is unlocked. Rewrite all 100 rows, rename the eight departments, pick any year from 2021 to 2051 and switch between the five colour themes on the Setting sheet.
