⚙️ How to Use the Operation Theatre Booking Calendar in Excel

  1. Unzip and open in Excel for Windows. The download contains the .xlsm workbook and a PDF user manual. Keep the file saved as .xlsm – saving it as .xlsx silently strips every button.

  3. Open the Setting sheet and set your Year, Start with Month, Week start with Day and Colour Theme. Everything downstream redraws from those cells.
  4. Rename the theatres. On the Events sheet, replace OT-1 General Surgery through OT-8 Day Care Surgery with your own theatre numbers and specialities. The Location column is plain text, so the summary tables pick up whatever you type.
  5. Clear the sample bookings once you have looked at them – select rows 5 to 104 on Events and delete the rows, or overwrite them one at a time.
  6. Add your own list with the green Add New Record button. Pick the date, pick the time, type the procedure name in Event Name, choose the theatre in Location, and add the list note in Description. Day fills itself in.
  7. Use Monthly View for planning and Daily View for the run sheet. Where Monthly View shows “N more…” under a booking, that date carries additional cases – check Daily View or This Month for the full list.
  8. Read This Month before the weekly meeting. Set the month and year, then look at Events This Month, Active Days, Locations Used and the Top 5 Locations ranking to see where the load is sitting.

  10. Keep patient details out. Book by procedure type, theatre, date and time, and keep names, hospital numbers and clinical notes in your governed clinical system.

It will not run in Excel for the web, Excel for Mac, Google Sheets or a phone app. If you need a browser-based schedule, take the Google Sheets alternative instead. You can still read and hand-edit the Events sheet anywhere – only the buttons need Windows.

Can I use it for a year other than 2026?

Yes. The Setting sheet’s Year list runs from 2021 to 2051, and every view rebuilds from it. You can also change the start month, so a calendar running April-to-March works as well as January-to-December.

Can several people use it at the same time?

Not really. A macro-enabled workbook on a shared drive gives one editor at a time and read-only for everyone else. The practical pattern is one owner who edits and prints, and a shared read-only copy or a printed Daily View for the theatre team.

How long does setup take?
