Sheet 2: Setting

This sheet holds the three dropdown lists and the real stat-card formulas. The lists ship with these values, all editable:

📐 What the Four Stat Cards Actually Count

These are the real formulas from the Setting sheet. Read them once and the cards will never surprise you:

  • 🔹 Total Orders = COUNTA('Data Entry'!$C$15:$C$1048576) – a count of rows with a Client Name. One client with three events is three orders.
  • 🔹 Total Revenue = SUM('Data Entry'!$H$15:$H$1048576) – every Order Amount whatever the status, so Inquiry, Quoted, Pending and Cancelled orders are included. On the samples, $45,075 contains $20,025 of Pending and $1,650 of Quoted orders; the Confirmed, Deposit Paid and Completed orders add up to $23,400. Treat the card as order value booked and quoted, not cash received.
  • 🔹 Pending Orders = COUNTIF('Data Entry'!$I$15:$I$1048576,"Pending").
  • 🔹 Confirmed Orders = COUNTIF('Data Entry'!$I$15:$I$1048576,"Confirmed") – the exact word Confirmed only, so the Deposit Paid order COB-0002 is not counted.

Only two of the nine statuses have a card. Inquiry, Quoted, Deposit Paid, In Preparation, Delivered, Completed and Cancelled stay in the table and in Total Revenue but in neither count card. For the value of firm orders only, add one cell on the Setting sheet: =SUM(SUMIFS('Data Entry'!$H$15:$H$1048576,'Data Entry'!$I$15:$I$1048576,{"Confirmed","Deposit Paid","In Preparation","Delivered","Completed"})).

Order Amount and Guest Count are typed, not calculated. There is no price-per-guest, deposit, balance, discount or tax column, so enter the final order value yourself.

⚙️ How to Use the Order Book

  1. Unzip the download and open Catering_Order_Book_System.xlsm in Excel for Windows. Click Enable Content; if Excel still blocks it, right-click the file, choose Properties and tick Unblock (Microsoft’s guide to enabling macros).
  2. Open the Setting sheet and rewrite the event types, menu packages and statuses you use.
  3. Delete the six sample orders when you are ready to start.
  4. Fill the form on Data Entry and click Add. The Record ID and Entry TimeStamp are written for you.
  5. To change an order, double-click its row, edit it and click Update. To remove one, load it, click Delete and confirm.

💼 Real-World Use Cases

Amara runs a two-person catering kitchen. She logs every inquiry the moment it arrives, moves it to Quoted and then Deposit Paid, and filters the table by Event Date each Monday to see which weekends are already booked.

Daniel owns a restaurant that caters corporate lunches. He filters by Menu Package at month-end to see whether Gold Buffet or Platinum Plated orders bring in more, and trims the list to what he actually sells.

A bakery taking event orders uses the Guest Count column to size its production before confirming a booking, instead of hunting through messages.

⚠️ Limits to Know Before You Buy

  • 🔸 The in-table dropdowns cover rows 15 to 214 – 200 orders. The Add button and the card formulas keep working below that, but copy the validation down if you keep more than 200 orders in one file.
  • 🔸 The three lists are fixed named ranges, and each is already full. Event Type reads Setting!$A$3:$A$14, Menu Package $C$3:$C$12 and Status $E$3:$E$11. The How To Use page says the dropdowns update on their own; that is only true when you insert a row inside a list. A value typed below a list will not appear until you widen the range in Formulas > Name Manager.
  • 🔸 A blank or unreadable Event Date is saved as today’s date, and only Client Name is required, so check the date before clicking Add.
  • 🔸 Update rewrites the Entry TimeStamp, so it shows the last save rather than when the order was first taken. Deleting the newest order lets the next order reuse its Record ID.

🔒 Client Data

All six sample clients are fictional. The workbook stores a client name on each order but no phone, email or address fields. The file has no password, encryption or access log, so keep it on a secured PC and handle the client names you enter under the privacy rules that apply to your business.

The Total Revenue card sums every Order Amount whatever the status, including Inquiry, Quoted, Pending and Cancelled orders. The workbook has no payment or deposit columns. Use the SUMIFS formula shown above to total firm orders only.

Does it plan events or calculate menu costs?

No. It is an order book. There are no venue, timeline, vendor, ingredient, recipe or cost fields, and Order Amount is typed. It keeps a clean list of what has been booked and where each order stands.

Will it work on a Mac or in Excel for the web?

No. Excel for the web cannot run VBA, and Excel for Mac handles macros differently, so the Add, Update, Delete and Reset buttons are supported on Excel for Windows desktop only. Google Sheets cannot run the macros either.
