📅 Three selectors, one page. The header holds a Select Month drop-down (Jan to Dec), an MTD/YTD switch and a Target/PY switch. Every card, light, change figure and mini trend recalculates from those three cells, so one sheet answers “how did December go against target?” and “are we ahead of last year?”.
🚦 Traffic lights that respect KPI direction. Seven KPIs are upper-the-better (UTB) and three are lower-the-better (LTB). Average Response Time, Repeat Callback Rate and Materials Cost Ratio count as improving when they fall, so a slower response or a bigger parts bill never shows up as good news.
📈 12-month mini trend on every card. Each of the ten cards carries a small column trend for Jan to Dec, with the highest month in green and the lowest in red, so a weak month stands out without opening another tab.

⚙️ How to Use the Scorecard
- Open the PDF in your download and click the link to make your own copy in Google Drive.
- Apply the two quick fixes listed below (June/July and the Average Response Time colour).
- On KPI Definition, keep or rename the 10 KPIs and set each Type to UTB or LTB.
- On Input Data, type the same KPI names and enter MTD and YTD Actual, Target and PY for each month.
- On the Scorecard, choose the month, MTD or YTD, and Target or PY, then open KPI Trend to review any KPI by month.
⚠️ Known Limitations and One-Minute Fixes
We exported the live sheet and checked its formulas before listing it. Five points to know:
- June and July break the cards. The Select Month list offers “June” and “July” while Input Data stores “Jun” and “Jul”, and the card lookups match the exact text, so all ten cards show zeros and broken lights for those two months. Fix: click Scorecard cell N1, open Data > Data validation, and change June to Jun and July to Jul.
- Average Response Time change colour. Both colour rules on that card use red, so its change figure and arrow stay red even in a month when response time falls. Fix: in Format > Conditional formatting on N6:N7 and M7, set the “Green” rule’s text to green.
- Color Settings is not connected. The traffic-light bands are hardcoded on the Support sheet (Z4:AA6 for upper-the-better, AC4:AD6 for lower-the-better). By default an upper-the-better KPI is red at or below its comparison value, amber up to 10% above it and green only beyond 10%, so hitting target exactly shows red; a lower-the-better KPI is green at or below, amber up to 10% above and red beyond. Edit Support, not Color Settings, to change them.
- Read Me is empty, and YTD values are typed rather than calculated from the MTD rows.
- Header selector text is hard to read. The month, MTD/YTD and Target/PY values print in dark text on the maroon header; select N1, Q1 and V1 and set the font to white.
💼 Real-World Use Cases
Dave runs a four-technician handyman company. At month end he types the totals, sets the scorecard to MTD vs Target and checks First-Time Fix Rate and Repeat Callback Rate first, because together they show whether jobs are being finished properly on the first visit.
Priya manages bookings and quotes. She switches to YTD vs PY to see whether Quote-to-Job Conversion Rate and Average Job Value are ahead of last year, then opens KPI Trend to show the owner which months slipped.
Luis looks after costs. He watches the Materials Cost Ratio card; when it turns red he reviews supplier prices and how parts are charged on small repair jobs.

How long does setup take?
Copying the sheet takes a minute and the two fixes take another. The real work is data entry: 10 KPIs times 12 months is 120 rows, each with six numbers. Once those are in, every card, light and chart updates on its own.
Why do the cards show zeros when I pick June or July?
The month list spells them June and July while the data uses Jun and Jul. Open Data > Data validation on Scorecard cell N1 and change the two entries to Jun and Jul; the cards fill immediately. The KPI Trend page and the mini trends are not affected.
How does this compare to Jobber or Housecall Pro?
Those tools run booking, dispatch, quoting and invoicing on a subscription. The Handyman Services KPI Scorecard in Google Sheets does none of that; it is a one-time purchase for reviewing monthly KPIs you already collect, and it can sit alongside such software.
Does it cover licensing, insurance or building codes?
No. The template makes no contractor licensing, bonding, insurance, building-code or certification claim. Repeat Callback Rate and the other KPIs are simply numbers you enter and compare to target, and the sample figures are fictional.
