One thing to be clear about before you read any further, because it decides whether this is right for you: this workbook has no doctor-name column and no patient column. The Events sheet holds seven fields – ID, Date, Day, Event Name, Time, Location, Description – and nothing else. That is a deliberate design choice, and it is explained honestly further down.

3. Monthly View

A traditional Sun-to-Sat month grid with the duty name printed inside the day cell. The honest summary: rota software generates and enforces a rota. This workbook displays one that has already been agreed. If you are a department of six to thirty clinicians whose rota is currently a Word table emailed round on the 25th of the month, this is the upgrade. If you are rostering four hundred clinicians against working-time rules, buy the software.

Who This Template Is For – and Who It Is Not For

A good fit if you

  • Publish a monthly on-call rota for a single department or a small hospital and want it readable at a glance.
  • Already work in Excel on a Windows desktop and do not want another login.
  • Need the year, the month and the coming week visible from the same file.
  • Want a printable month or year grid to pin on the noticeboard.
  • Are a locum coordinator, rota administrator or clinical lead keeping track of who owes what cover.

Not a good fit if you

  • Need names attached to duties inside the file. There is no doctor-name column. You can type a name into Event Name or Description, but you cannot filter or count by clinician.
  • Need the rota built – fair rotation, leave balancing, working-time compliance. This does none of that.
  • Need several people editing the same rota at once. Use the Google Sheets edition for that.
  • Work on a Mac, an iPad or Excel for the web – the VBA forms and the view refreshes need Excel for Windows desktop.
  • Want automatic reminders, SMS or email alerts. There are none.

How to Use the Doctor On-Call Calendar in Excel

  1. Unzip and open the .xlsm in Excel for Windows. Excel will show a yellow security bar – click Enable Content. The buttons, the entry form and the Daily View and This Month refreshes are all VBA, so without macros the file is a static picture.
  2. Set your year on the Setting sheet. Choose the year (2021-2051), the starting month, the first day of your week, and whether to highlight duty dates. Pick a colour theme while you are there.
  3. Clear the sample duties. On the Events sheet delete rows 5 to 104, or keep a couple as a pattern until you have the hang of the form.
  4. Type your published rota in. Use Add New Record on the Events sheet, or Add New Event from Monthly View or Daily View. Fill Date, Event Name, Time, Location and Description – Day fills itself in from the date.
  5. Read it back. Monthly View for the month on a page, Daily View for a date range, This Month for counts, Annual View for the whole year.
  6. Print or share. Every view has a print area already set. For a noticeboard, print Monthly View or Annual View; to circulate, send the file or a PDF of the month.

Real-World Use Cases

Meera, rota coordinator at a 180-bed district hospital

Meera publishes eight departmental rotas a month. She keeps one workbook per department, enters the agreed cover as soon as the consultants sign off, and prints the Monthly View for each department noticeboard. The On-Call Roster Published and Shift Swap Request Deadline entries in the sample are the two dates she actually cares about, and they are already modelled in the file.

Dr Alok, clinical lead in emergency medicine

Alok opens This Month on a Monday morning. Next 7 Days tells him how much cover is in the coming week; Events by Day of Week tells him whether the weekend is carrying too much of the load. When someone asks who is second-on this Saturday, he sets the Daily View range to that weekend and reads off the duty and the department, then takes the name from the departmental list he keeps separately.

Sana runs the whole clinic year from Annual View. She marks holiday cover, drill days and the two annual roster-publication dates, then works backwards. She has no IT department, no budget for scheduling software, and no interest in one – a $4.99 file that opens in the Excel she already has is exactly the size of the problem.

Honest Limitations – Read These Before You Buy

Every one of these was checked against the actual file, not the screenshots.

  • No clinician name field. Seven columns, none of them a person. This keeps staff data out of a spreadsheet that gets emailed around – but it means the file tells you what cover exists, not who is providing it.
  • Monthly View shows only one duty per date. The grid uses a lookup that returns the first match, and unlike some of our other calendars it prints no more-events counter. In the shipped sample all 100 duties fall on 100 different dates, so you will never see it – but if you enter two duties on one date, the month grid shows one of them. Daily View and This Month list both.
  • No end time, so no hours. Time is a single start time. The workbook cannot total on-call hours, calculate rest between duties, or cost a rota.
  • Nothing prevents a clash. Enter two duties in the same department at the same time and the workbook accepts both without a warning.
  • The Top 5 Locations panel is a Top 5. It is labelled as such, but note that Locations Used can read higher than the number of rows shown – in the August 2026 sample it reads 6 against 5 listed departments.
  • Windows desktop Excel only. Macros do not run in Excel for the web, Excel for iPad or Excel Mobile, and VBA UserForms are not supported on Excel for Mac.

Frequently Asked Questions

Is this a hospital management, EHR or practice-management system?

No. It is a Microsoft Excel calendar workbook. It stores no medical records, holds no patient data, connects to no clinical system, and is not an EHR, EMR, RIS, PACS or practice-management product. If you need one of those, buy one.

Does it store patient information?

No. There is no patient name, patient ID, hospital number, date of birth, diagnosis or clinical-notes field anywhere in the workbook, and none of the 100 sample duties contains a patient identifier. It records what cover is scheduled, where and when – nothing about the people being treated.

Is it HIPAA or GDPR compliant?

No. No spreadsheet is certified compliant on its own. The file has no encryption, no access control, no audit trail and no user accounts – anyone who can open it can change it. Compliance depends on how your organisation stores, shares and protects the file, and that is your responsibility, not the responsibility of the template.

Does it check safe-staffing rules or working-time regulations?

No. The workbook enforces no staffing ratio, no rest-break rule, no working-time regulation and no union or contractual agreement, and it makes no clinical or safety recommendation. It shows what you typed in.

Do I have to enable macros?

Yes. The Add New Record, Update Record and Delete Record buttons, the entry form, and the Daily View and This Month refreshes are all VBA. Click Enable Content when Excel prompts you, or use the Excel Trust Center to trust the folder you keep the file in.

Which Excel versions does it work in?

Microsoft Excel for Windows, desktop, 2010 or later, including Microsoft 365. It is not supported on Excel for Mac, Excel for the web, iPad or Android, because those cannot run the VBA UserForms.

Can I use it for a year other than 2026?

Yes. The Setting sheet year list runs from 2021 to 2051 – pick a year and all four views redraw. You can also start the calendar on any month, which suits departments running an April-to-March or July-to-June rota year.

Can more than one person edit it at the same time?

No – it is a desktop file. If simultaneous editing matters, the Doctor On-Call Calendar in Google Sheets is the same calendar built for the browser, at the same price.
