The Subscription Box KPI Dashboard in Power BI is a ready-to-use monthly KPI scorecard for a subscription box business. It is built for the monthly review meeting, not for ad-hoc exploration.

This is the scorecard template, not the analytical dashboard. NextGenTemplates publishes two different families with similar names. This one is the month-picker scorecard: a KPI table with status lights, a KPI Trend page and a KPI Definition page. If you want a multi-page analytical dashboard with charts by product, region and cohort, that is a different template and is listed separately.

Key Features

  • Month picker drives everything. Choose Dec 2025 (or any month in your data) and the whole scorecard, both trend pages and every card recalculate. The 12-month sparkline always shows the full year, so the context does not move when the month does.
  • Twelve subscription box KPIs across six groups – Growth, Retention, Fulfillment, Quality, Customer Experience and Financial Health.
  • Direction-aware achievement. Higher-is-better KPIs score Actual / Target. Lower-is-better KPIs (Customer Acquisition Cost, Monthly Subscriber Churn %, Product Damage Rate %, Fulfillment Cost per Box) score Target / Actual, so beating a cost target scores above 100% instead of looking like a failure.
  • Traffic lights on MTD and YTD separately. On Target at 100% or more, At Risk from 95% to 100%, Missed below 95%. A KPI can be green this month and red year-to-date, and the scorecard shows both side by side.
  • Five synced slicers – Month, KPI Group, Owner, Priority and Direction. Filter to one owner’s KPIs, or to everything that is lower-is-better, and the pages stay in step.
  • KPI Trend page with a single-select KPI list. Pick one KPI and get CY MTD vs PY MTD vs Target MTD by Month, plus the same comparison on a YTD basis, with the selected KPI’s group, unit, direction, owner and priority shown as context cards.
  • KPI Definition page – the formula and the plain-English definition for the selected KPI, plus a month-by-month detail table (Actual MTD, Target MTD, Achievement % MTD, status, Actual YTD, Achievement % YTD) and two supporting charts.
  • Two hidden tooltip pages that appear on hover over the trend visuals, so the detail is there without another click.
  • Nothing is hard-coded. Every card, chart and table reads whatever rows exist in the Excel data pack. Rename a KPI, add one, or delete one, hit Refresh, and the counts, the scorecard, the KPI list and the charts all follow.
  • Native Power BI visuals only – no custom visuals to install, no external service to sign up for, no locked pages. Fully editable.

The Four Pages

1. KPI Scorecard. Five headline cards – Total KPIs, MTD Target Met, MTD At Risk, MTD Target Missed and Achievement MTD – each with its own 12-month trend, over the full KPI table. Every row carries KPI Name, KPI Group, Unit, a 12M trend sparkline, Actual and Target MTD, Achievement % MTD, a status light, a YoY arrow, then Actual YTD, Achievement % YTD and a second status light.

2. KPI Trend. Single-select list of all twelve KPIs down the left. Six context cards name the selected KPI, its group, unit, direction, owner and priority. Five value cards show KPI Actual MTD, KPI Target MTD, KPI Achievement % MTD, KPI Status MTD and KPI YoY % MTD. Below them, CY MTD vs PY MTD vs Target MTD by Month and CY YTD vs PY YTD vs Target YTD by Month.

3. KPI Definition. The same KPI selection, synced. Shows the selected formula (for Average Product Rating: Sum of Product Review Stars / Product Reviews Submitted) and the selected definition in plain English, alongside a 12-month trend. Underneath: Monthly Detail for the Selected KPI as a table, plus MTD Actual vs Target by Month and Achievement % by Month.

4. Get More Templates. A catalogue page listing other NextGenTemplates Power BI dashboards, a short “Using and Customising This Template” reference, and contact details. How to Use It

  1. Download and unzip. Keep the .pbix and Data.xlsx in the same folder.
  2. Open the .pbix in Power BI Desktop (free) and look around with the sample data.
  3. Open Data.xlsx and read the Read Me sheet first – it explains how MTD and YTD are meant to behave, and why a percentage KPI must average across the year rather than sum.
  4. Fill KPI Definition – one row per KPI, with UTB for higher-is-better and LTB for lower-is-better, plus owner, priority, unit, formula and definition.
  5. Fill Input_ Target – one row per KPI per month, MTD and YTD target.
  6. Fill Input_ Actual – the same, for the reporting year and the year before it. The prior year is what every PY and YoY figure reads from.
  7. Back in Power BI Desktop, click Home > Refresh. If you moved the workbook, use Home > Transform data > Data source settings > Change Source.

Frequently Asked Questions

Does it connect to Shopify, Recharge, Stripe, Chargebee or my 3PL?
No. The report reads the included Data.xlsx and nothing else. You export or type your monthly numbers into the three input sheets and refresh. There is no connector, no API key and no sync.

Are the numbers in the screenshots real?
No. They are realistic sample values shipped so the file opens with something to look at. Replace them with your own.

Do the targets tell me what good looks like for a subscription box?
No. Every target in the file is a placeholder you overwrite. The template does not benchmark churn, CAC, margin or any other KPI against an industry figure, and it does not recommend a target.

Can I add or remove KPIs?
Yes, and that is the point of the design. Add a row to KPI Definition plus its monthly Target and Actual rows, then refresh. Delete a KPI by removing its rows from all three sheets. The KPI name is the join key across the three sheets, so keep it spelled consistently.

What if a KPI is lower-is-better?
Mark it LTB in the KPI Definition sheet. Achievement then scores Target / Actual, so beating a cost or churn target reads above 100% and turns green.

Do I need a Power BI licence?
Power BI Desktop is free and is all you need to open, edit and use this file locally. A Power BI Pro or Premium licence is only needed if you want to publish and share it through the Power BI service, which is Microsoft’s requirement, not ours.

What is the difference between this and a Subscription Box analytical dashboard?
This is a scorecard – a month picker, a KPI table with traffic lights, and per-KPI trend and definition pages. An analytical dashboard is chart-led and slices one dataset by product, region, cohort and time. They answer different questions, and many teams keep both.

Can I rebrand it?
Yes. Change the colours through the theme, swap the logo, rename pages, delete the Get More Templates page. Nothing is locked.
