This listing belongs to our Power BI KPI dashboard family: a month-picker scorecard with red, amber and green status lights, a KPI Trend page and a KPI Definition page. It is not one of our analytical Power BI dashboards, which slice transaction-level data across overview and analysis pages. If you want to know whether each excavation metric hit target this month, and whether it is better or worse than last year, this is the right file.

🔑 Key Features of the Excavation Contractor KPI Dashboard
🎯 14 excavation KPIs, each with its own direction. Six are higher-is-better (Excavation Revenue, Gross Profit Margin %, Cubic Yards Excavated, Utility Trench Footage Completed, Equipment Utilization % and Schedule Milestone Compliance %) and eight are lower-is-better (Days Sales Outstanding, Cost per Cubic Yard Moved, Unplanned Fleet Downtime Hours, Fuel Cost per Machine Hour, Change Order Approval Cycle, Total Recordable Incident Rate, Utility Strikes per 1,000 Locates and Field Labor Overtime %).
🚦 Direction-aware achievement. Higher-is-better KPIs score Actual divided by Target; lower-is-better KPIs score Target divided by Actual, so moving a cubic yard for less than the target cost scores above 100%. The bands are fixed and documented in the data pack: On Target at 100% or more, At Risk from 95% to 100%, Missed below 95%.
↕️ A YoY figure that reads the right way round. YoY % is expressed as improvement, so a fall in a lower-is-better KPI shows as a green up-arrow. In the December 2025 sample, Unplanned Fleet Downtime Hours dropped from 758 to 697 and shows +8.0% in green, while Cost per Cubic Yard Moved rose from 4.46 to 4.51 USD and shows -1.1% in red.
🎛️ Five slicers on the scorecard page: Month, KPI Group, Owner, Priority and Direction. The KPI Trend and KPI Definition pages share a synced KPI Name selection, so the KPI you pick on one page is ready on the other.
📈 A 12-month sparkline on every row and every card. Total KPIs, MTD Target Met, MTD At Risk, MTD Target Missed and Achievement MTD each carry a month-over-month change and a 12-month trend bar, and every KPI row repeats its own sparkline.
🧾 Nothing is hard-coded. Every card, chart and table is driven by the rows in the data pack. Rename a KPI, add one or delete one, press Refresh, and the counts, the scorecard, the KPI picker and every chart follow.
📦 What is Inside This Power BI KPI Dashboard
The download is a ZIP holding three files: the .pbix report, Data.xlsx (the data pack) and a Power BI dashboard user manual PDF. The report has four visible pages plus two hidden tooltip pages, KPI Detail and Trend Detail, that appear when you hover a visual.
Page 1: KPI Scorecard
The month view. Five slicers sit above five header cards, and a 14-row table gives each KPI its group, unit, 12-month sparkline, MTD actual, target, achievement %, status light and YoY arrow, then YTD actual, achievement % and status light. In the shipped December 2025 sample, 8 KPIs are On Target, 3 At Risk and 3 Missed, at 100.7% Achievement MTD. The three misses are Utility Strikes per 1,000 Locates (2.90 against 2.53, 87.2%), Cost per Cubic Yard Moved (91.6%) and Gross Profit Margin % (17.53% against 19.05%, 92.0%).

Page 2: KPI Trend
Pick one KPI from the list on the left and the page becomes that KPI: six context cards (KPI, group, unit, direction, owner and priority), five value cards (MTD actual, target, achievement %, status and YoY %), then CY MTD vs PY MTD vs Target MTD by Month and CY YTD vs PY YTD vs Target YTD by Month. For Change Order Approval Cycle it reads 24.87 days against a 25.51-day target, 102.6% and On Target, yet -1.7% on last year, because December 2024 was quicker at 24.46 days.

Page 3: KPI Definition
The same KPI, explained. Cards show the formula (for example Owner Approval Date – Change Order Submission Date), the plain-English definition, group, unit, direction, owner, priority and a 12-month trend. Below sit a Monthly Detail for the Selected KPI table covering January to December with a total, plus MTD Actual vs Target by Month and Achievement % by Month charts. In the sample, February, April, May and September 2025 are the At Risk months for the change order cycle.

Page 4: Get More Templates
A catalogue and help page rather than a data page. It lists other Power BI dashboards, our services, and a Using and Customizing This Template panel covering the month picker, the KPI Trend selection, swapping in your own data, UTB and LTB scoring and recolouring the theme in one place.

The data pack
Data.xlsx carries four sheets: a Read Me; Input_ Target with 168 rows (14 KPIs x 12 months); Input_ Actual with 336 rows covering 2025 and the 2024 prior year; and KPI Definition, which holds each KPI’s group, unit, formula, definition, UTB or LTB type, owner and priority. The shipped KPIs are owned by 13 named roles, from Chief Financial Officer and Production Manager to Equipment Manager and Shop Foreman, at three priority levels: 6 Critical, 5 High and 3 Medium.
Worth knowing before you buy: YTD values are typed into Data.xlsx rather than calculated, so you enter a running total for money and volume and an average for %, days and rates. The KPI Trend and KPI Definition pages are linked by a synced KPI Name slicer, not a right-click drillthrough. The month-over-month chips on the header cards compare KPI counts, so 8 On Target against 9 last month reads as -11.1%.

👥 Who This Template Is For – and Who It Is Not For
✅ This template is built for:
- Owners and general managers of excavation, grading and utility contractors who run a heavy fleet of excavators, dozers, loaders and haul trucks
- Production, equipment and utility division managers who already track cubic yards, machine hours and trench footage in spreadsheets and want them scored monthly
- Finance and project controls leads reporting margin, debtor days, milestones and change orders to an owner or board
- Power BI users who want a finished, well-modelled KPI report to adapt rather than a blank canvas
❌ This template is NOT for:
- Anyone needing estimating, takeoffs, job costing or pay applications; this is a reporting layer, not construction management software
- Teams wanting live telematics, GPS survey or accounting feeds; the source is an Excel workbook you maintain
- Anyone looking for safety or damage-prevention software; it holds no locate tickets, trench inspections or incident records, and it makes no regulatory or compliance claim
- Anyone who needs industry benchmarks; every target in the file is one you set yourself, and the sample figures are fictional
⚙️ How to Use This Power BI KPI Dashboard
- Unzip the download and keep the .pbix and Data.xlsx in the same folder.
- Open the .pbix in Power BI Desktop (free from Microsoft). The sample year loads immediately.
- Re-point the source once: Home > Transform data > Data source settings > Change Source, and browse to your copy of Data.xlsx.
- Edit the KPI Definition sheet: names, groups, units, formulas, owners, priorities and the UTB or LTB flag that decides how each KPI is scored.
- Fill Input_ Target and Input_ Actual, one row per KPI per month, and load last year into Input_ Actual so every PY and YoY figure has something to read.
- Enter YTD as a running total for money and volume, and as the average of the months so far for %, days and rates.
- Press Home > Refresh, then use the Month slicer and the KPI Name list to review the month.
💼 Real-World Use Cases
Mark owns an excavation and site-work company. On the first Monday of each month he filters Priority to Critical and sees Gross Profit Margin % Missed at 92.0% while Excavation Revenue is On Target at 104.3% and up 12.1% on last year. Volume is growing, but margin is not keeping up, so he asks estimating to review the unit rates on the jobs that closed in December.
Angela is the production manager. She selects KPI Group Production before the weekly site meeting: Cubic Yards Excavated is On Target at 302,997 CY, but Cost per Cubic Yard Moved is Missed at 4.51 USD against 4.13 and Utility Trench Footage is At Risk at 96.8%. That gives her one clear question for the foremen: why are more yards costing more per yard?
Luis runs the equipment shop. He lives on the KPI Trend page, flipping between Unplanned Fleet Downtime Hours and Equipment Utilization %. Downtime is 697 hours against a 763-hour target and 8.0% better than last year, while utilization is 73.22%, so he can show the owner the preventive work on the fleet is paying off across the year, not in one month.
❓ Frequently Asked Questions
What KPIs does the Excavation Contractor KPI Dashboard in Power BI track?
It tracks 14 KPIs in 6 groups: Financial, Production, Fleet, Schedule, Safety and Workforce. They run from Excavation Revenue, Gross Profit Margin % and Cubic Yards Excavated to Equipment Utilization %, Schedule Milestone Compliance %, Change Order Approval Cycle and Field Labor Overtime %, each with a formula and definition.
How long does setup take?
Under 10 minutes if your monthly actuals and targets already exist somewhere. Unzip, open the .pbix in Power BI Desktop, replace the rows in Data.xlsx with your own and press Refresh. Deciding your targets takes longer than configuring the file.
Does it handle metrics where lower is better?
Yes. Eight of the fourteen shipped KPIs carry an LTB flag and score Target divided by Actual, so cutting cost per yard, downtime or overtime pushes achievement above 100%. The YoY % follows the same rule, so green always means better than last year and red always means worse.
How does this compare to construction management software?
Construction management platforms are sold as subscriptions and handle estimating, scheduling, job costing and billing. This template is a $12.99 one-time reporting layer that scores the monthly numbers you already have. It reports; it does not estimate jobs, dispatch machines or raise pay applications.
Do I need a paid Power BI licence?
No. Power BI Desktop is free from Microsoft and opens, refreshes, filters and prints the report. A Power BI Pro licence is only needed if you want to publish the report to the Power BI Service and share it with colleagues online.
Is there an Excel or Google Sheets version?
Excel and Google Sheets KPI dashboard editions for excavation contractors are in preparation as separate builds. Available now is the Excavation Contractor KPI Scorecard in Google Sheets, which is our scorecard line rather than this dashboard line: a lighter monthly scorecard built in Google Sheets instead of a multi-page Power BI report.
Does it cover trench safety or utility damage prevention?
No. Total Recordable Incident Rate and Utility Strikes per 1,000 Locates are performance counts you enter yourself, not incident, inspection or locate records. Nothing in the file manages locate tickets, inspects trenches or certifies crews. Keep those in the systems your regulator and insurer expect.
