🔑 Key Features of the Library Book Due Calendar in Google Sheets
📅 Annual View with 12 month grids. Pick a year from the dropdown and all twelve months of that year appear on one screen. Every date that holds an event is shaded, so the busy weeks at the circulation desk stand out at a glance.
🗓️ Monthly View with Month and Year dropdowns. A Sunday-to-Saturday grid prints the first event name under each date and adds a “1 more…” note when a second event falls on the same day.
📋 Daily View for any date range. Type a Start Date and an End Date and a FILTER formula lists every event in that window with its ID, date, weekday, event name, time, location and description. Set it to one week for a desk rota or one month for a notice board.
🗂️ One Events sheet feeds everything. The Events table holds ID, Date, Day, Event Name, Time, Location and Description. The Annual, Monthly and Daily views all read from it, so you edit one table and never three. The Date column carries date validation to catch mistyped entries.
📚 16 library event types in the sample data. Book Return Due, Inter-Library Loan Return, Overdue Notice Sent, Reference Book Due, Periodical Return, Audiobook & Digital Media Return, Renewal Deadline, Reserved Book Ready for Pickup, Fine Payment Due, Membership Renewal Due, Children’s Storytime Session, Book Club Meeting, Reading Challenge Deadline, New Arrivals Shelving, Damaged Book Review and Stock-Taking Audit Day.
📍 12 sample locations. Main Circulation Desk, Administration Office, Reading Hall, Reserve Counter, Children’s Section, Non-Fiction Section, New Arrivals Display, Reference Section, Fiction Section, Community Room, Digital Media Section and Periodicals Room.
✔️ Clean, checked sample data. IDs run 1 to 100 with no gaps, all 100 weekday labels match their dates, events spread across 97 separate days with never more than two on one date, and every month carries eight or nine entries.
📦 What’s Inside the Library Due Date Calendar
Page 1: Home
The Home page shows the calendar title and four navigation buttons: Annual View, Monthly View, Daily View and Events. Every view carries a “← Back” link that returns you here.

Page 2: Annual View
The year selector is set to 2026 and shows January through December as twelve month grids. Shaded cells mark dates with at least one event; January, for example, shades the 3rd, 5th, 9th, 12th, 16th, 22nd, 28th and 29th.

Page 3: Monthly View
October 2026 is shown: Membership Renewal Due on the 1st, Reserved Book Ready for Pickup on the 3rd, Children’s Storytime Session with “1 more…” on the 5th, Fine Payment Due on the 7th, Inter-Library Loan Return on the 23rd, Book Return Due with “1 more…” on the 27th and Membership Renewal Due on the 28th.

Page 4: Daily View
With the range set from 01-Oct-26 to 31-Oct-26 the list returns nine events, IDs 76 to 84, including both events on 5 October (Children’s Storytime Session and Reading Challenge Deadline) and both on 27 October (Book Return Due and Book Club Meeting).

The master list of all 100 sample events. Row 1 is a Children’s Storytime Session on Saturday 03-Jan-26 at 12:00 PM in the Children’s Section; the last row is dated 22-Dec-26. Replace these rows with your own library’s dates.

For a school, community or branch library that wants every due date and programme on one shared calendar without buying a full library system, this template sits in the sweet spot.
👥 Who This Template Is For, and Who It Is Not For
✅ Built for:
- 📚 School librarians planning return deadlines, reading challenges and stock-taking days for the year
- 🏘️ Community and village libraries that run storytime, book clubs and membership renewals from one desk
- 🏫 Teachers or volunteers managing a classroom or department book corner
- 🗂️ Branch coordinators who want a view-only calendar that staff can open on a phone
❌ Not for:
- Libraries that need a catalogue, borrower accounts, barcode check-out or fine calculation. That is an integrated library system, not a calendar
- Teams that need automatic email or SMS reminders sent to members
⚠️ What This Calendar Deliberately Does Not Do
- 🚫 It sends no emails, SMS or notifications. “Overdue Notice Sent” is an event label, and the sample description that mentions an emailed reminder is demo text only
- 🚫 It calculates no fines and takes no payments; “Fine Payment Due” is a date on the calendar
- 🚫 It holds no member, borrower or book records and does not sync with Google Calendar
- 🚫 Events have a start time only, with no end time or repeat rule, and the Day column is typed by hand
- 🚫 The Monthly View shows the first event name per date; the Daily View shows every event
All 100 sample rows are fictional and name no real person. If you add member details, you are responsible for keeping that data secure.
⚙️ How to Use It
- Open the PDF in your download and click the link to make your own copy in Google Drive.
- Go to the Events sheet and delete the 100 sample rows.
- Enter each due date or event: ID, Date, Day, Event Name, Time, Location and a short description.
- Open the Annual View and choose your year from the dropdown.
- Use the Monthly View’s Month and Year dropdowns to check one month at a time.
- Set a Start Date and End Date in the Daily View to print a weekly or monthly list.
- Share the file view-only with staff or volunteers who only need to read it.
Google explains the formula behind the date-range list in its FILTER function guide, and link sharing in Share files from Google Drive.
💼 Real-World Use Cases
A school librarian at a 600-pupil secondary school enters the end-of-term return deadlines, two stock-taking audit days and the summer reading challenge cut-off, then shares the Annual View with form tutors so nobody books a class visit on an audit day.
A volunteer coordinator at a village library keeps Children’s Storytime Sessions, Book Club Meetings and Membership Renewal Due dates in one Events sheet, and prints the Daily View for the coming week to pin beside the issue desk.
A branch assistant handling inter-library loans logs each partner-branch return date and uses the Monthly View to see which days courier dispatches cluster together.
❓ Frequently Asked Questions
Does it need Google Sheets or Excel?
It is a Google Sheets file. You need a free Google account and a web browser; the PDF in your download holds the link that makes your own editable copy in Google Drive. An Excel edition of this calendar is in preparation but is not part of this download.
Does it send overdue reminders to members?
No. The Library Book Due Calendar in Google Sheets is a planning calendar. It sends no emails, SMS or notifications, calculates no fines and holds no borrower accounts. “Overdue Notice Sent” is simply an event type you can place on a date.
Is the sample data real?
No. The 100 events, dates, times and locations are fictional demo rows for 2026 and name no real person. Delete them from the Events sheet and type in your own library’s dates.
Can I use a different year?
Yes. The Annual View and Monthly View year dropdowns run from five years before the current year to thirty years after it, and the calendars redraw for whichever year you pick.
How long does setup take?
Making the copy takes seconds. Entering a term’s worth of due dates usually takes a few minutes, because you only type into the Events sheet and the three calendar views update from it.
How does it compare with library management software?
Library management systems handle catalogues, barcodes, borrowers, fines and reminders, usually on a subscription. This calendar only schedules and displays dates and events, for a one-time price, which suits small libraries that already track loans elsewhere.
