The Language Schools Dashboard in Google Sheets turns a single enrollment register into a six-page reporting system for a multi-campus language school. The build you download ships with 500 sample enrollments across 6 languages, 5 campuses, 8 instructors, 6 CEFR levels and 4 class formats, already rolling up to $945,572 in tuition revenue, 27,130 class hours, a 70.6% exam pass rate and a 4.2 average satisfaction score. Nothing is hard-coded: replace the sample rows and every KPI tile, chart, slicer and lookup recalculates. One-time payment, no subscription, no add-ons, and the file is yours in Google Drive in under two minutes.

Key Features of the Language Schools Dashboard in Google Sheets

  • Four KPI tiles that travel with you – Total Enrollments, Tuition Revenue, Exam Pass Rate and Avg Satisfaction sit across the top of every dashboard page, each with its own sparkline strip.
  • Six tabs, four of them analytical – Overview, Languages, Campuses, Students, Search and Instructions, plus a Data tab that holds the register.
  • Four slicers per page, scoped to that page – Overview filters on Month, Language, Class Format and Campus; Languages swaps in Course Level; Campuses swaps in Instructor and Status; Students swaps in Age Group. Each page keeps its own view, so a campus manager and a curriculum lead are not fighting over one filter.
  • Sixteen charts driven by native pivot tables – including a tuition revenue waterfall against plan, a campus enrollment bar, a class-hours-versus-revenue scatter by instructor, a CEFR level revenue donut and a stacked enrollment-status column by month.
  • An Enrollment ID lookup page – type any ID such as ENR-0001 and 17 fields pull straight from the Data tab through INDEX/MATCH wrapped in IFERROR, so a missing ID reads “Not found” rather than #N/A.
  • A left navigation rail on every page – click a page name to jump, with an At a Glance panel (avg tuition, class hours, active students, instructors, avg retention, withdrawals) and a 12-month enrollment sparkline always in view.
  • Room for 1,000 enrollments – the pivots read A1:Q1001 out of the box, roughly double the sample data, and extending the range is a single edit.
  • Seventeen fixed columns – Enrollment ID, Date, Language, Course Level, Class Format, Campus, Instructor, Age Group, Status, Class Hours, Retention Rate, Exam Passed, Tuition Revenue, Revenue vs Plan, Satisfaction, Month and Count.

What’s Inside the Language Schools Dashboard in Google Sheets

Overview. The headline page. A tuition-revenue-by-month area chart runs the full year – October peaks at $102,414, May bottoms out at $45,558. Below it, a waterfall shows tuition revenue variance versus plan by language: English is $9,419 behind plan, German $6,452 behind, Japanese $8,832 behind, while French runs $8,655 ahead, Mandarin $22,105 ahead and Spanish $25,520 ahead, closing at a $31,577 subtotal. Beside it, Enrollments by Campus makes Downtown’s 152 enrollments against roughly 86-88 everywhere else impossible to miss. A Top 5 Languages by Revenue table and an Enrollment Status Mix bar strip close the page.

Languages page of the Language Schools Dashboard in Google Sheets with enrollments by language, revenue share by CEFR course level and revenue by language and class format

Languages. Programme-level economics. Enrollments by Language (Spanish 138, English 111, French 80, Mandarin 80, German 51, Japanese 40), Revenue Share by Course Level as a donut across A1 to C2, Avg Satisfaction by Language, a stacked Revenue by Language and Class Format column splitting Group, Online, Private and Immersion, and a Class Hours vs Tuition Revenue scatter that plots all eight instructors.

Campuses. Where the classes actually run. Tuition Revenue by Campus (Downtown $287,925, Harbour $188,781, Riverside $165,958, Westgate $154,267, Northside $148,641), a stacked Enrollments by Month and Status column, Class Hours by Instructor as a horizontal bar (G. Okafor leads on 3,886 hours, A. Moreau trails on 2,900), and a combo chart pairing enrollment counts with average retention rate per campus.

Students page of the Language Schools Dashboard in Google Sheets showing enrollments by age group, revenue share by age group and exam passes by course level

Students. Who is learning. Enrollments by Age Group (18-24 is 181 of 500), Revenue Share by Age Group, Enrollments by Course Level, Avg Satisfaction by Age Group, Exam Passes by Course Level (A1 96, A2 91, B1 73, C1 40, B2 35, C2 18 – 353 passes in total) and a monthly intake area chart. A Top 5 Instructors by Revenue table ranks G. Okafor at $142,326 down to F. Lindqvist at $116,246.

Search. A single-record lookup. Enter an Enrollment ID and all 17 fields render as a clean record card, with a short note explaining the INDEX/MATCH construction so you can extend it.

Instructions. Four numbered blocks: load your own data, use the filters, move around, and make it yours – including where the pivot tables live (from column Z rightwards) and how to add a page.

The honest summary: a paid student information system does admissions, billing and timetabling that a spreadsheet never will. This template does the reporting layer on top of data you already keep – and it does it for the price of a lunch.

Who This Template Is For – and Who It’s Not For

Built for: independent language schools running 2-8 campuses; owner-operators who track enrollments in a spreadsheet and want a board-ready view; academic directors comparing programme profitability across languages and CEFR levels; centre managers who need per-campus retention and instructor workload in one place; franchise operators reporting a standard set of numbers upwards.

Not built for: schools that need admissions workflow, invoicing, payment collection or timetabling – this reports, it does not transact. Nor is it right if you have no enrollment record at all, if you need per-student personal data handling under a formal privacy programme (keep identifiers out of the sheet and use enrollment IDs), or if your register runs past a few thousand rows, where a database will serve you better than pivot tables.

How to Use the Language Schools Dashboard in Google Sheets

  1. Open the PDF in your download and click the copy link. Google creates your own editable copy in your Drive. Nothing is shared with anyone until you share it.
  2. Open the Data tab and replace the sample rows from row 2 down. Keep the 17 headers exactly as they are – the pivots and the Search page both key off them.
  3. Never leave Enrollment ID blank. It is the key the pivots use to skip empty rows and the Search page uses to find a record.
  4. Refresh the pivots (they sit from column Z rightwards on each page) and watch the KPI tiles, charts and At a Glance panel move.
  5. Use the four slicers in the purple rail on whichever page you are on. They are page-scoped, so each page can hold a different view.
  6. Recolour the rail, the tiles and the chart palette to match your school brand, and copy a page if you want a seventh view.

Real-World Use Cases

Maria runs three campuses of a Spanish-language school in Chicago. Every Monday she opens the Campuses page, sets the Month slicer to the prior month and reads Tuition Revenue by Campus against the retention combo chart. When one site’s retention slid three points while its enrollment count held, she moved two group classes to a stronger instructor before the term-end withdrawal window.

Daniel is academic director at a six-language centre in Lisbon. He lives on the Languages page. The revenue-versus-plan waterfall told him Japanese was $8,832 behind plan on only 40 enrollments, while Mandarin was $22,105 ahead on 80 – the case for cutting one Japanese intake and adding a Mandarin immersion cohort took a single screenshot.

Priya is centre manager for a franchise that reports upwards monthly. She filters the Students page by Age Group, exports Exam Passes by Course Level, and pastes the Top 5 Instructors by Revenue table straight into head office’s template. What used to be a two-hour pivot rebuild is now a filter and a copy.

Frequently Asked Questions

Do I need to know Google Sheets formulas to use this?

No. Replacing the sample rows on the Data tab is the whole job. The formulas, pivot tables and charts are already wired. If you do want to extend it, the Search page documents its own INDEX/MATCH pattern.

How many enrollments can it hold?

The pivots read A1:Q1001, so 1,000 enrollments before anything needs changing – and extending the ranges is a straightforward edit. The file ships with 500 sample rows.

Does it work in Microsoft Excel?

This build is made for Google Sheets and uses native Sheets pivot tables, slicers and charts. If Excel is your working environment, buy the Language Schools Dashboard in Excel instead, which is built natively for it.

Can several people use it at once?

Yes. That is the main reason to run this in Google Sheets. Share the file, and your campus managers can update the Data tab while the academic director reads the dashboard. Slicers are page-scoped, so people filtering different pages do not overwrite each other’s view – two people filtering the same page will, so agree who drives.

What currency does it use?

The sample data is formatted in US dollars. Change the cell format on the Tuition Revenue and Revenue vs Plan columns and the dashboard follows – no formula edits needed.

Are the sample names, campuses and instructors real?

No. Downtown, Harbour, Northside, Riverside and Westgate Campus, and the eight instructor names, are illustrative sample data so you can see the dashboard working before you load your own. Replace them.

Can I add a language, a campus or a CEFR level?

Yes. The charts read from pivot tables over the Data tab, so a new value in the Language, Campus or Course Level column appears in the charts and slicers on the next refresh. Nothing is hard-coded to the six languages shipped.
