The Executive Search & Staffing Dashboard in Google Sheets turns a flat mandate list into six linked tabs, 16 charts, 15 native slicers and an assignment lookup that pulls any record with one ID. The sample file ships with 500 search assignments spanning 8 practice areas, 5 seniority levels, 4 search types, 6 client sectors and 8 consultants – $42,235,500 in placement fee revenue, 258 placements and a 78-day average time to fill. Built by NextGenTemplates, whose spreadsheet templates reach 300K+ subscribers across our YouTube channels. Instant download, lifetime access, free updates, and a PDF guide carrying the Make a Copy link so an editable copy sits in your own Google Drive in under a minute.

One thing to be clear about before you buy: this is a tracking and reporting workbook. It charts the mandates, candidates and fees you enter. It is not an applicant tracking system, it does not source candidates, and it does not give recruitment, employment or legal advice.

What’s Inside the Executive Search & Staffing Dashboard in Google Sheets

Overview is the firm-wide page. Month, Practice Area, Seniority Level and Client Sector slicers drive Monthly Placement Fee Revenue as a stepped area across twelve months, Placements by Seniority Level as a donut (Vice President 32.8%, Director 30.4%, SVP / EVP 17.2%, C-Suite 10.8%, Board Director 8.8%), Fee Revenue by Practice Area as a treemap, Candidate Salary vs Time to Fill as a scatter, and Assignments by Client Sector as a bar chart. Below them, Top 5 Clients by Fee Revenue lists Lyndhurst Media at $4,631,900 down to Beaumont Industries at $3,876,800.

Assignments page showing assignments by practice area, month and status, time to fill by seniority and candidates presented

Assignments is the mandate book. Assignments by Practice Area puts Digital & Technology at 109 and Legal & Risk at 38; Assignments by Month and Status stacks the five pipeline stages; Average Time to Fill by Seniority Level shows C-Suite searches running longest; Candidates Presented by Month peaks at 473 in October against a 175 low in August.

Candidates page with candidates presented against assignments, average time to fill by month and salary package by seniority level

Candidates pairs shortlist volume with offer economics: a combo chart of Candidates Presented and Assignments by Month, Average Time to Fill by Month, and Average Salary Package by Seniority Level, where C-Suite packages sit far above every other band. Top 5 Seniority Bands by Fee Revenue runs C-Suite $11,404,200, Vice President $11,004,000, SVP / EVP $9,217,800, Director $7,248,400, Board Director $3,361,100.

Consultants page showing fee revenue by consultant and search type, assignment share by search type and client ratings

Consultants is the desk-level view for eight named consultants: Fee Revenue by Consultant and Search Type as a stacked column, Assignment Share by Search Type as a donut (Retained Search 46.2%, Contingency 28.6%, Succession Advisory 14.2%, Executive Interim 11.0%), Average Time to Fill by Consultant and Average Client Rating by Consultant. Priya Nair tops the fee table at $6,327,600.

Search page of the Executive Search & Staffing Dashboard showing a single assignment record looked up by ID

Search returns one mandate at a time – consultant, client, sector, seniority, search type, status, candidates presented, time to fill, salary package, placement fee, client rating and date – and reads “Not found” rather than #N/A when an ID does not exist. Instructions closes the workbook with four short setup steps.

Who This Template Is For – and Who It’s Not For

It fits boutique executive search firms with two to twenty consultants, staffing agency owners who need a partner-level view of fee revenue and time to fill, in-house talent leaders running retained searches, and anyone reporting a search desk from spreadsheets today.

It does not fit firms that need CV parsing, candidate sourcing, email sequencing or GDPR-compliant candidate record management – that is an applicant tracking system, and the Recruitment Applicant Tracking System Web App is the closer match. It also does not fit teams above 1,000 live mandates without extending the pivot ranges, and it will not produce payroll, invoicing or statutory reporting.

How to Use the Executive Search & Staffing Dashboard in Google Sheets

  1. Open the PDF in your download and click the Make a Copy link to place an editable copy in your own Google Drive.
  2. Open the Data tab and replace the sample rows from row 2 down, keeping all 16 column headers exactly as they are.
  3. Give every row a unique Assignment ID – the pivots use it to ignore blank rows and the Search page uses it to look a mandate up.
  4. Return to Overview and click a slicer. Charts, the Top 5 panel and the status mix all follow that selection; slicers are per page, so each tab can hold its own view.
  5. Recolour the rail, KPI cards and chart palette to your firm’s brand, then share the file view-only with clients or edit-access with your consultants.

Real-World Use Cases

Priya, managing partner of a nine-person search boutique, opens Consultants every Monday, filters to Retained Search and reads fee revenue and client rating per desk before the partner call.

Marcus, a staffing agency owner, uses Assignments by Month and Status to spot that shortlists are stacking up at Offer Stage in Q3, then reallocates two consultants before the pipeline stalls.

Elena, a talent acquisition lead in-house, filters Overview to Financial Services and takes the practice-area treemap and the 78-day time-to-fill figure straight into her quarterly board pack.

Frequently Asked Questions

Do I need any add-on or script for this to work?

No. Every filter is a native Google Sheets slicer and every chart is fed by a native pivot table, so nothing has to be installed or authorised.

How many assignments can I load?

1,000 out of the box – the pivots read A1:P1001. Beyond that you extend the pivot source range once and everything follows.

Can I use this in Microsoft Excel?

This build is Google Sheets only. The Excel version and the Power BI version are sold separately.

Will my team need Google accounts?

Anyone editing needs a Google account. You can still share the dashboard view-only by link with clients who do not have one.

Can I change the currency or the field names?

Yes. Reformat the fee and salary columns to your currency and rename any of the 16 headers – just rename them on the Data tab and refresh the pivots.

Is this an applicant tracking system?

No. It reports on searches you are already running. It does not source candidates, parse CVs or send email.
