The Call Center Operations Dashboard in Google Sheets turns a flat export of call records into six linked pages of contact-centre analysis: 4 headline KPIs, 17 charts and panels, 15 slicers across four filter pages, and a Call ID lookup that returns any single call in full. The sample file ships with 500 call records spread over 12 agents, 6 teams, 5 queues, 4 channels and 4 shifts, and the pivots are already sized for 1,000 rows. Built and tested by a Microsoft Certified Professional with 15+ years in Excel, Google Sheets and Power BI. Instant download, lifetime access, and a 30-day refund if it is not what you expected.

Call Center Operations Dashboard in Google Sheets Overview page showing total calls handled, average handle time, first call resolution and CSAT

Please read this before you buy: this is an offline analysis workbook, not a live wallboard. It does not connect to Genesys, Five9, Avaya, Twilio, Zendesk or any other ACD/CCaaS platform, it does not dial, record or monitor calls, and nothing on it updates in real time. You export your call data, paste it into the Data tab, and the whole workbook recalculates. That is the entire mechanism, and it is why it costs less than a seat-month of a reporting add-on.

Key Features of the Call Center Operations Dashboard in Google Sheets

  • Four KPI cards that follow you – Total Calls Handled, Avg Handle Time (min), First Call Resolution % and Avg CSAT Score sit in the navy rail and stay visible on every page, each with its own sparkline or progress bar.
  • An “At a glance” strip – Avg wait time (sec), Abandonment rate, Active agents and Escalated calls, recalculated from the same 16-column Data tab.
  • Per-page slicers – Overview filters on Month, Team, Queue and Channel; Agents on Team, Queue, Shift and Month; Queues on Queue, Channel, Shift and Month; Experience on Queue, Channel and Month. Filters are set per page, so four people can hold four different views.
  • Four gauge dials for First Call Resolution by Channel – Voice, Chat, Email and Social each get their own red/amber/green dial instead of one blended number.
  • A speed-versus-satisfaction scatter – Avg Handle Time vs Avg CSAT by Agent, the chart that shows whether your fastest agents are also your worst-scoring ones.
  • Shift coverage built in – Calls by Queue and Shift stacks Morning, Afternoon, Evening and Night, so understaffed windows show up as a colour, not a spreadsheet argument.
  • A Call ID search page – type CALL-00001 and every field of that record fills in through INDEX/MATCH wrapped in IFERROR. A missing ID reads “Not found”, never #N/A.
  • Nothing hard-coded – every number traces back to a pivot on the Data tab. Replace the sample rows and the six pages follow.

What’s Inside the Call Center Operations Dashboard in Google Sheets

Overview – the daily read. Calls by Month and Channel as a stacked column, Call Share by Queue as a donut (Technical Support 28.2%, Billing 22.6%, Sales 21.4%, Complaints 17.2%, Retention 10.6% in the sample), Avg Handle Time by Team, Avg CSAT by Month, the four FCR dials, plus Top 5 Agents by Calls Handled and a Resolution Status Mix bar strip.

Agents page of the Call Center Operations Dashboard with calls handled by agent and handle time versus CSAT scatter

Agents – Calls Handled by Agent with data labels on every bar, Calls by Team and Resolution Status stacked five ways (Resolved, Transferred, Pending, Escalated, Abandoned), the Avg Handle Time vs Avg CSAT scatter, and Avg Wait Time by Month as a filled area.

Queues – where demand actually lands. Calls by Queue, Call Share by Channel, Avg Wait Time by Queue, Abandoned Calls by Month, Avg Handle Time by Channel, Calls by Queue and Shift, and a Top 5 Queues by Call Volume ranking.

Experience – the caller’s side. Call Volume and Avg Wait Time by Month on one combo chart, Resolution Status Mix as a donut, Avg CSAT by Team, Top 5 Teams by Call Volume and a Channel Mix strip.

Search – one cell in, one full call record out: Date, Agent, Team, Queue, Channel, Shift, Resolution Status, Wait Time, Handle Time, Hold Time, Abandoned flag, FCR %, CSAT, Month and Count.

Instructions – five numbered sections covering loading your own data, using the filters, moving around, reading each page, and recolouring the rail and charts to your brand.

Who This Template Is For – and Who It’s Not For

It fits a team leader running 5-30 agents who already exports call detail from a phone system and wants a weekly operations review without paying per seat for reporting. It fits BPO account managers reporting to a client, and small in-house support desks whose “dashboard” is currently a pivot table someone rebuilds every Monday.

It does not fit anyone who needs a live wallboard on the floor, real-time queue alerting, workforce-management forecasting or call recording – those are ACD features and this workbook has none of them. It is also the wrong tool above roughly 1,000 calls per reporting period unless you extend the pivot ranges yourself, and the wrong tool if your data never leaves a system you cannot export from. If you would rather work in a desktop file, take the Call Center Operations Dashboard in Excel; if you need a model that refreshes from a folder of exports, take the Call Center Operations Dashboard in Power BI.

How to Use the Call Center Operations Dashboard in Google Sheets

  1. Open the PDF you receive and click the “Make a copy” link. The workbook lands in your own Google Drive.
  2. Export call detail from your phone system or ticketing tool to CSV.
  3. Open the Data tab and replace the sample rows from row 2 down. Keep all 16 column headers exactly as they are, and never leave Call ID blank – it is the key the pivots and the Search page both use.
  4. Enter Abandoned as 1 or 0 and FCR % as 100 or 0, so both average into a clean rate.
  5. Refresh the pivots, then use the slicers in the white strip under each page title.
  6. Recolour the rail, KPI cards and chart palette to your brand from the Instructions page.

Real-World Use Cases

Priya, team leader at a 24-agent billing desk. Every Monday she pastes the previous week’s export in, filters the Queues page to Billing, and reads Avg Wait Time by Queue against Calls by Queue and Shift. The evening block is where abandons cluster, and she now moves two people instead of guessing.

Marcus, BPO account manager. His client asks for FCR by channel. He filters the Overview page to the client’s queue, screenshots the four dials, and the Voice-versus-Email gap ends the conversation in a minute.

Dana, support manager at a 9-person SaaS desk. She uses the Agents page scatter in one-to-ones: an agent handling calls two minutes faster than the team with a CSAT half a point lower is a coaching conversation, not a league table.

Frequently Asked Questions

Does this connect to my phone system?

No. It is an offline analysis workbook. There is no Genesys, Five9, Avaya, Twilio or Zendesk connector, no dialer and no live feed. You export your call data and paste it into the Data tab.

How many calls can it hold?

The pivots read A1:P1001, so 1,000 call records work with no changes. Beyond that you extend the pivot ranges yourself – it is an ordinary Google Sheets file, nothing is locked.

What columns does my export need?

Sixteen: Call ID, Date, Agent, Team, Queue, Channel, Shift, Resolution Status, Wait Time (sec), Handle Time (min), Hold Time (min), Abandoned, FCR %, CSAT, Month and Count. Map your export to those headers and everything works.

Do the filters apply to the whole workbook?

No, deliberately. Slicers apply per page, so the Queues view and the Experience view can hold different selections at the same time.

Can I add my own queues, teams or channels?

Yes. The sample uses 5 queues, 6 teams and 4 channels, but the pivots read whatever values are in your data – add or rename freely and refresh.

Do I need Excel or any add-on?

No. A free Google account and a browser. Nothing to install, no macros, no scripts.

Is this the same as your Call Center KPI Scorecard?

No. The Call Center KPI Scorecard in Google Sheets is a month-picker scorecard with target-versus-actual traffic lights. This is an analytical dashboard: pivots, slicers and call-level drill-down.
