The Alumni Associations Dashboard in Excel turns 500 sample alumni records into five linked report pages that show $1.2M in donations, 3.7K volunteer hours, a 93.4% pledge fulfilment rate and a $830.7K net surplus – and every one of those figures recalculates the moment you click a slicer. It is built by NextGenTemplates, whose YouTube channels reach 300K+ subscribers, and hand-tested before release. There are no macros, no add-ins and no subscription: open it in Excel 2016 or later (Microsoft 365 included), paste your own export over the sample sheet, refresh, and the KPI cards and charts follow. Every number shown in the screenshots is sample data supplied for demonstration.
Key Features of the Alumni Associations Dashboard in Excel
- Five report pages reached from a fixed left-hand navigation rail, so you never hunt for a tab.
- Four slicers – Year, Month, Chapter and Region – wired to every page at once. Pick Northeast Chapter and the whole workbook narrows to it.
- Five KPI cards across the top of the overview: Total Donations, Total Records, Total Volunteer Hours, Avg. Engagement Score (shown as a 5-star meter) and Net Surplus Amount.
- A pledge fulfilment gauge that reads the ratio of donations received to donations pledged – 93.4% on the sample data.
- Chapter league tables that rank all eight chapters on pledge fulfilment, record count, membership fees and net surplus.
- Outreach channel reporting covering six channels, each with its own response rate, attendance count and volunteer hours.
- Membership tier and status breakdowns from Bronze through Life, plus active, lapsed, pending-renewal and cancelled counts.
- Graduation-decade giving, so you can see which cohorts your donations actually come from.
What’s Inside the Alumni Associations Dashboard in Excel
Page 1 – Alumni Associations Dashboard (overview)
The landing page. Five KPI cards sit above four visuals: Total Donations vs Pledged by Month, the Pledge Fulfillment % gauge, Total Records by Region (Northeast 157, West 125, Midwest 110, South 108 on the sample data) and Pledge Fulfillment % by Chapter, which runs from Gulf Coast Chapter at 97.1% down to Great Lakes Chapter at 87.2%.

Page 2 – Giving Trend
Where the money moves over time. Donations vs Program Cost by Month puts cost directly against income for all twelve months, Net Surplus Amount by Quarter shows the sample year peaking at $310.4K in Q2 and falling to $128.5K in Q4, Total Donations vs Total Membership Fees by Year contrasts the two income streams, and Total Records by Donation Band splits the file into Low (304), Medium (128) and High (68) givers.

Page 3 – Chapter Analysis
Chapter-by-chapter comparison. Donations vs Membership Fees by Chapter, Total Records by Chapter (Northeast Chapter leads with 107 records, Great Lakes trails at 34), Net Surplus Amount by Region and the chapter pledge-fulfilment ranking repeated here for context. This is the page a regional director opens first.

Page 4 – Engagement
How alumni actually respond. Outreach Response % by Engagement Channel ranks six channels – Alumni Events 71.8%, Phone Outreach 67.2%, Alumni Portal 55.1%, Email 46.8%, Social Media 38.5%, Direct Mail 36.1%. Beside it, Event Attendances vs Volunteer Hours by Engagement Channel, Avg. Engagement Score by Program across six programmes, and Total Event Attendances by Faculty (Business 176, Engineering 140, Arts & Sciences 137, Education 58, Medicine 56, Law 45).

Page 5 – Membership
The membership base. Total Records by Membership Tier (Bronze 169, Silver 137, Gold 99, Platinum 61, Life 34), Donations vs Membership Fees by Membership Tier, Total Records by Membership Status (Active 279, Lapsed 106, Pending Renewal 71, Cancelled 44) and Total Donations by Graduation Decade, where the 2010s cohort contributes $316.0K against $142.4K from the 1980s.

Behind the pages
A Data sheet holding the 500 sample records, a Support sheet carrying every pivot table that feeds the visuals, and the workbook’s slicer connections. You edit the Data sheet; nothing else needs touching.

The honest summary: a CRM manages alumni records; this workbook reports on them. If you already keep your alumni file in a database, an export plus this dashboard gives you the board-ready view without a second licence.
Who This Template Is For – and Who It’s Not For
A good fit if you are: an alumni relations officer at a university or college, a chapter coordinator reporting up to a national office, a development office analyst preparing a quarterly board pack, a small alumni association with a few hundred to a few thousand members and no CRM budget, or anyone who already exports alumni data and rebuilds the same pivot tables by hand each month.
Not a good fit if you need: a system of record for individual alumni contact details, automated receipting or acknowledgement letters, payment processing, live two-way sync with a donor database, more than roughly 50,000 rows (Excel will manage it, but a database is the right tool), or anything that speaks to compliance and tax-receipting obligations. This workbook does none of those – it reads a file and reports on it.
How to Use the Alumni Associations Dashboard in Excel
- Unzip and open. Extract the download and open the .xlsx in Excel 2016 or later. There are no macros to enable.
- Look at the sample first. Click through all five pages with the sample data in place so you can see what each visual is meant to show.
- Match your export to the columns. Open the Data sheet and line your own alumni export up with the existing headers – chapter, region, membership tier, membership status, graduation decade, donation amount, pledged amount, membership fee, programme cost, event attendances, volunteer hours, engagement score and engagement channel.
- Paste your records in. Replace the 500 sample rows. Keep the header row exactly as it is.
- Refresh. Data > Refresh All. Every pivot table on the Support sheet updates, and with it every KPI card and chart.
- Filter and read. Use the Year, Month, Chapter and Region slicers to answer a specific question, then use Excel’s normal export or copy-as-picture to drop a page into your board pack.
Real-World Use Cases
Priya, alumni relations manager at a mid-sized university. Her board wants one page a quarter. She pastes the quarter’s export in, sets the Year and Month slicers, and screenshots the overview page – five KPIs and the pledge-fulfilment gauge answer the three questions she always gets asked before anyone opens their mouth.
Daniel, national chapter coordinator. Eight chapters, eight different spreadsheets arriving by email. He consolidates them into the Data sheet and uses the Chapter Analysis page to see that Gulf Coast converts 97.1% of pledges while Great Lakes sits at 87.2% – which turns a vague “some chapters are behind” into a specific conversation with two people.
Meera, development office analyst. She is testing whether the phone campaign is worth its cost. The Engagement page puts phone outreach at 67.2% response against email at 46.8%, and the Giving Trend page shows what the programme cost against what came in. That is the memo written.
Frequently Asked Questions
Which versions of Excel does this work in?
Excel 2016, 2019, 2021 and Microsoft 365 on Windows or Mac. It is a plain .xlsx workbook using pivot tables, slicers and standard chart types – no macros, no Power Pivot licence, no add-ins.
Are the donation figures in the screenshots real?
No. Every figure in the images and in the shipped workbook is sample data generated for demonstration. Replace it with your own export before you show anything to anyone.
Can I add my own chapters, regions or membership tiers?
Yes. The slicers and pivot tables read whatever values appear in the Data sheet columns, so adding a ninth chapter or a new tier just means typing it into your data and refreshing.
Does it handle personal alumni details or donation receipts?
No. It is a reporting workbook that works from aggregated fields – chapter, tier, amount, channel and so on. It does not manage individual records, issue receipts, or address any tax or compliance requirement. Whatever personal data you paste in stays in your own file, and you remain responsible for how it is stored and shared.
How many rows can I use?
The sample is 500 records. It runs comfortably into the tens of thousands. Past roughly 50,000 rows, refresh times grow and a database-backed tool becomes the better answer.
Is there a Power BI version?
Yes – the same dashboard is available as the Alumni Associations Dashboard in Power BI, built from the same data model and page structure.
What exactly is in the download?
A ZIP containing the .xlsx workbook with all five pages, the 500 sample records and every pivot table, plus an Excel Dashboard User Manual PDF.
