Who This Template Is For – and Who It’s Not For

It fits a one-to-three-vet practice that is currently booking into a paper daybook or a shared wall planner and wants the same thing online, visible to reception and the nurses at the same time; a mobile or house-call vet who needs a clean day list on a laptop; a grooming-and-wellness practice that wants a month at a glance; and any clinic that wants a second, low-friction view of the diary alongside whatever system it already runs.

It does not fit a practice that needs the calendar to be the clinical record. This sheet is not a practice information management system (PIMS), not a medical or clinical records system, not a prescribing or dispensing tool, not a billing or invoicing system, and not a controlled-drug register. It makes no claim about clinical governance, animal welfare assurance, treatment outcomes or regulatory standing of any kind – no AVMA, RCVS, USDA, FDA, state veterinary board or practice-inspection standard is met, addressed or implied by it. It is a calendar. Everything clinical stays in your clinical system and remains your responsibility.

Two more limits worth knowing before you buy, because they surprise people: nothing stops you double-booking a room and a time – the shipped samples already put two appointments on 30-Sep-2026 and two on 15-Oct-2026, and the sheet says nothing about it – and there is no end-time or duration field, so you cannot calculate room utilisation from it. There is also no status column (booked, arrived, completed, cancelled, no-show), no reminders or notifications of any kind, no Google Calendar or PIMS sync, and no recall engine: entering a rabies vaccination does not create next year’s.

The Missing Owner and Patient Columns Are Deliberate

The Events tab has exactly seven columns and none of them is an identity field. There is no owner name, no animal name, no species or breed, no microchip number, no case or patient number, no address, no phone number and no email – and no fee, invoice or payment column either. That is on purpose. A Google Sheet shared by link is not appropriate storage for client or patient records; book the slot here by procedure, time and room, and keep the identity in your clinical system.

One honest caveat: the Description column is free text, and four of the 100 demo rows do use a pet’s first name in that free text. If you keep names in that column, remember who the sheet is shared with – an internal case code is the safer habit.

How to Use the Veterinary Clinic Calendar in Google Sheets

1. Buy, download the PDF, and click the “Make a copy” link inside it. The copy lands in your own Google Drive under your own account.
2. Open the Events tab and delete the 100 sample rows (rows 4 to 103). Keep the header row.
3. Enter your own bookings: ID, Date, Day, Event Name, Time, Location, Description. Type the weekday in the Day column – it is a typed value, not a formula.
4. Open Monthly View, choose a month and year from the dropdowns, and check your bookings appear where you expect.
5. Use Daily View for the working list: set Start Date and End Date to today for a day sheet, or to Monday and Friday for the week.
6. Share the sheet with your team from the Google Sheets Share button, and decide there who can edit and who can only view.

Maria runs reception at a two-vet small animal clinic. She keeps Daily View open with Start and End Date both set to today. Walk-ins go straight into the Events tab and appear on her list the moment she stops typing.

Dr. Osei is a mobile vet. He sets Daily View to Monday-Friday on Sunday evening, prints it, and drives the week from it. The Location column carries his own site labels instead of exam rooms.

Priya manages a grooming and wellness practice. She uses Monthly View to see how heavily the Grooming Bay is loaded before agreeing to a new block booking, and Annual View to spot the quiet weeks worth running a dental promotion in.

Frequently Asked Questions

Is this a veterinary practice management system?

No. It is an appointment calendar in a spreadsheet. It holds no clinical records, writes no prescriptions, raises no invoices, and makes no regulatory or welfare claim of any kind.

Will it stop me double-booking a room?

No. Nothing validates or warns. The demo data itself contains two dates with two bookings each, on purpose, so you can see how the views handle it.

Does it send reminders to pet owners?

No – no emails, no SMS, no notifications, no calendar invites. There is no automation of any kind in this file.

Why does Monthly View only show one appointment per day?

Each day cell holds a single lookup. When a date carries more than one booking the cell shows the first and adds a “1 more…” note. Daily View shows all of them.

Do I need Apps Script permissions or an add-on?

No. Every view is built from ordinary spreadsheet formulas – FILTER, VLOOKUP, COUNTIF, DATE and EOMONTH – and plain in-sheet hyperlinks. There is no script to authorise.

Can several people use it at once?

Yes, exactly as any Google Sheet – share it and edit together. Access is controlled by Google’s sharing settings only; the file itself has no login, permissions, audit trail or record locking.
