🔑 Key Features of the Maternity Ward Duty Calendar in Google Sheets
📅 One duty register feeds every view. The Events tab holds seven columns – ID, Date, Day, Event Name, Time, Location and Description. Type a duty once and it appears in the annual grid, the monthly grid and the date-range list without any copying between tabs.
🗺 A twelve-month year on one screen. The Annual View draws all twelve month grids for the selected year and shades every date that has a duty on it. The shading is driven by a live filter of the register, so a duty added today lights up the grid immediately.
📆 Month and year pickers, not formulas to edit. The Monthly View takes a month name and a year from two dropdowns, and rebuilds the Sun-to-Sat grid, the leading blanks and the month length on its own. The year list runs from 2021 to 2056, so the file stays usable for 30 more rota years.
📅 A date-range shift list. The Daily View takes a start date and an end date and returns every matching duty with its day name, start time, location and description – the printable handover sheet a ward coordinator actually pins up.
🏥 Real maternity duty language out of the box. The sample rota uses the 16 duty types a maternity unit actually runs: Labour & Delivery Shift, Midwife Night Duty, On-Call Obstetrician, C-Section Theatre Roster, Epidural Anaesthesia Cover, NICU Nursing Shift, Antenatal Clinic Duty, Postnatal Ward Round, High-Risk Pregnancy Monitoring, Fetal Monitoring (CTG) Duty, Postpartum Recovery Check, Breastfeeding Support Session, Newborn Screening Round, Birth Registration Desk, Maternity Triage Assessment and Ward Handover.
🚩 Fifteen named ward locations. Duties are placed in Labour Ward, Delivery Suite, Postnatal Ward, Antenatal Ward, Antenatal Clinic, NICU, Operating Theatre, Recovery Bay, Maternal Fetal Medicine Unit, Lactation Room, Triage Room, Maternity Triage, Staff Room, Reception and Records Office – so the rota reads like a ward board, not a spreadsheet.
🔒 No staff names anywhere. The register carries no name, employee number, phone or email column at all. That is deliberate: you can share the file as a duty board without sharing a single piece of personal data. If you want to identify who is on, add your own column and use initials or an internal staff code.
📦 What is Inside the Maternity Ward Duty Calendar
Page 1: Home Navigation
The landing tab holds four linked buttons – Annual View, Monthly View, Daily View and Events – so ward staff who have never opened a spreadsheet can still reach the right screen in one click. Every view carries a Back link to return here.

Page 2: Annual View
Twelve month grids for one selected year, with every duty date shaded. The Year dropdown covers 2021 to 2056. In the sample data the shaded dates match all 100 duties exactly – 8 in January, 8 in February, 8 in March, 9 in April and so on to 8 in December.

Page 3: Monthly View
A full Sun-to-Sat month grid built from a Month dropdown and a Year dropdown, printing the duty name under each date. July 2026 in the sample shows Ward Handover on the 6th, Antenatal Clinic Duty on the 7th, Postnatal Ward Round on the 15th and Breastfeeding Support Session on the 30th. Where a date carries more than one duty the grid names the first and adds an “N more” note under it.

Page 4: Daily View
A start date and an end date return every duty in that window as a seven-column list. The sample range 1 July to 31 July 2026 returns eight duties, each with its weekday, start time, ward location and a one-line description of the work.

Page 5: Events Register
The single data table behind everything else – 100 rows, seven columns, one row per duty. This is the only tab you type into. A sixth List tab supplies the month names and the 2021-2056 year list that the dropdowns read.

For a ward that wants a shared, printable duty board without a per-user subscription or a staff database, the Maternity Ward Duty Calendar sits in the sweet spot – and if you need enforced ratios and rest-break rules, buy the rota SaaS instead.
👥 Who This Template Is For – and Who It Is Not For
✅ This template is built for:
- Ward managers and midwifery coordinators in small maternity units planning a rota for one ward
- Private maternity clinics and birth centres that run 10-30 duties a month and want them on one shared link
- Practice managers who currently keep the duty board on paper or a whiteboard photo
- Nursing schools and training units that need a realistic rota structure to teach with
❌ This template is NOT for:
- Hospitals that need enforced nurse-to-patient or midwife-to-birth ratios, working-time limits or rest-break rules – this file checks none of them
- Anyone needing payroll, timesheets, clock-in or leave approval – it is not an HR or time-and-attendance system
- Any use touching patient records – there is no patient field and it is not an EHR or EMR
- Large trusts with 200+ staff and shift-swap workflows, where a paid rota platform is the honest answer
⚙️ How to Use the Maternity Ward Duty Calendar
- Open the PDF in your download and click the Google Sheets copy link to save your own editable copy to Google Drive.
- Open the Events tab and replace the 100 sample rows with your own duties – Date, Day, Event Name, Time, Location, Description.
- Type the Day column to match each date. It is typed text, not a formula, so it will not update itself if you change a date later.
- Open the Annual View and set the Year dropdown to your rota year. The shipped copy is parked on 2035, so change it to see your data.
- Use the Monthly View month and year dropdowns for the ward noticeboard print, and the Daily View start and end dates for a shift-handover list.
- Share the file with a view-only link so staff can read the rota but not edit it.
💼 Real-World Use Cases
Ayesha coordinates a 12-bed maternity unit at a private hospital. She keeps next quarter’s Labour & Delivery Shifts, NICU Nursing Shifts and On-Call Obstetrician cover in the Events tab, prints the Monthly View for the staff room wall every four weeks, and sends the same view-only link to the two consultants who cover weekends.
Marcus runs a standalone birth centre with nine staff. Every Friday he sets the Daily View to the coming week, prints the eight-row list, and reads it out at handover. Because the file has no name column, he can leave it open on the shared screen at the reception desk without exposing anyone’s details.
Dr Rina teaches midwifery rostering to second-year students. She uses the 16 duty types and 15 ward locations as a worked example of how an antenatal clinic, a delivery suite and a NICU interlock across a week, and has students build a month of cover from scratch.
❓ Frequently Asked Questions
Is the Maternity Ward Duty Calendar in Google Sheets an HR, payroll or time-and-attendance system?
No. It is a duty calendar. It records what duty happens on what date, at what time, in which ward location. It does not calculate hours, pay, overtime, leave balances or clock-in and clock-out times, and it is not a substitute for an HR system.
Is this a patient record system or an EHR?
No. There is no patient name, patient ID, diagnosis or clinical note anywhere in this calendar. It rosters staff duties only. Never enter patient-identifiable information into it – use your hospital’s own EHR or EMR for that.
Is it HIPAA or GDPR certified?
No. This is a spreadsheet template and carries no healthcare compliance certification of any kind. How and where you store your copy is governed by your own organisation’s policies and your Google Workspace configuration, not by this file.
Does it check safe-staffing ratios, working-time rules or rest breaks?
No. The calendar checks and enforces no staffing ratio, working-time regulation, rest-break rule, union agreement or safe-staffing standard. It will happily accept a rota that breaks all of them. Every clinical and legal staffing judgement stays with you.
Will it stop me double-booking the same ward at the same time?
No. There is no clash detection. Nothing prevents two duties being entered in the same ward at the same start time, and the Monthly View will show only the first of them with an “N more” note. Check the Daily View for the date before you commit a rota.
Does it store staff names?
No – and that is the point. The register has no name, contact or employee-number column, so the file can be shared as a duty board without sharing personal data. If you need to say who is on, add your own column and use initials or an internal staff code rather than full names.
How long does setup take?
Under 10 minutes. Open the PDF, click the copy link, clear the 100 sample rows in the Events tab, and type your own duties. Every view is formula-driven, so the Annual, Monthly and Daily screens fill themselves the moment the register has data.
