Student Attendance Calendar in Google Sheets

📌 Please read this first: this is a calendar of attendance-related dates, such as roll calls, register checks, detention sign-ins and parent-teacher meetings. It does not hold a student list, present/absent marks or attendance percentages. If you need a per-student register, see the Attendance Tracker in Google Sheets.

🔑 Key Features of the Student Attendance Calendar in Google Sheets

📅 Annual View with 12 month grids. Pick a year from the dropdown and all twelve months appear on one screen. Every date that holds a roll call, lab sign-in, assembly or meeting is shaded, so busy weeks for your attendance team stand out at a glance.

🗓️ Monthly View with Month and Year dropdowns. A Sunday-to-Saturday grid prints the first event name under each date and adds a “1 more…” note when a second event shares the day, so an exam roll check and a health screening on the same date are easy to spot.

📋 Daily View for any date range. Type a Start Date and an End Date and a FILTER formula lists every event in that window with its ID, date, weekday, event name, time, location and description. Set one week for a staff briefing or one month for a notice-board printout.

🗂️ One Events sheet feeds everything. The Events table holds ID, Date, Day, Event Name, Time, Location and Description. The Annual, Monthly and Daily views all read from it, so you edit one table and never three. The Date column carries date validation to catch mistyped entries.

🏫 17 attendance-related event types in the sample data. Morning Roll Call, Morning Assembly, Lecture Attendance, Late Arrival Log, Absence Follow-up, Detention Session, Remedial Class, Science Lab Attendance, Computer Lab Practical, Library Reading Session, Music Class, Sports Period, Art & Craft Club, Health Check-up, Parent-Teacher Meeting, Exam Hall Attendance and Field Trip Attendance.

📍 34 sample locations. Homerooms 6-A, 7-B and 8-C, Classrooms 101, 105 and 208, Lecture Hall B, Physics and Biology Labs, Computer Lab 2, Examination Halls A and B, the Main Gate, Reception Desk, Counsellor’s Office, Medical Room, Infirmary, Library Reading Room, Gymnasium, Music Room, Study Hall and more.

School-day time slots. Sample times run from 7:45 AM to 3:30 PM across 13 slots, so the calendar reads like a real timetable of when attendance is taken during the school day.

✔️ Clean, checked sample data. IDs run 1 to 100 with no gaps, all 100 weekday labels match their dates, events fall on 96 separate days with four dates holding two, and every month carries eight or nine entries.

📦 What’s Inside the School Attendance Calendar Template

Page 1: Home

The Home page shows the calendar title and four navigation buttons: Annual View, Monthly View, Daily View and Events. Every view carries a “← Back” link that returns you here.

Page 2: Annual View

The year selector is set to 2026 and shows January through December as twelve month grids. Shaded cells mark dates with at least one event; January, for example, shades the 3rd, 6th, 22nd, 23rd, 26th, 28th, 29th and 30th.

Page 3: Monthly View

With the range set from 01-Mar-26 to 31-Mar-26 the list returns eight events, IDs 17 to 24, including both events on 23 March: a Late Arrival Log at 1:15 PM at the Main Gate and a Music Class at 12:30 PM in the Music Room.

For a school office that wants every roll call, register check and parent meeting on one shared calendar without buying a full student information system, this template sits in the sweet spot.

👥 Who This Template Is For, and Who It Is Not For

✅ Built for:

  • 🏫 School office and attendance coordinators who plan when roll calls, late logs and absence reviews happen across the year
  • 👩‍🏫 Heads of year and homeroom leads who want one view of assemblies, lab sign-ins and exam hall checks
  • 🧑‍💼 Counsellors scheduling absence follow-up meetings and parent-teacher slots
  • 📌 Small schools and tuition centres that share a view-only schedule with staff on their phones

❌ Not for:

  • Schools that need a class register with student names, daily present/absent marks or attendance percentages. That is an attendance tracker or student information system, not a calendar
  • Teams that need automatic SMS, email or app alerts to parents when a student is absent

⚠️ What This Calendar Deliberately Does Not Do

  • 🚫 It records no student names, marks, absences or percentages; “Morning Roll Call” and “Absence Follow-up” are event labels that tell staff when something happens
  • 🚫 It sends no emails, SMS or notifications and does not sync with Google Calendar
  • 🚫 Events have a start time only, with no end time, duration or repeat rule, so a weekly roll call is entered as separate rows
  • 🚫 The Day column is typed by hand, and the Monthly View shows the first event name per date while the Daily View shows every event
  • 🚫 Long event names or descriptions you type may be cut off in the fixed-width Monthly and Daily View cells

All 100 sample rows are fictional and name no real student, parent or teacher; a few sample times are illustrative only (for example a Morning Assembly at 1:15 PM). Keep student personal data out of a shared file; if you add any, you are responsible for keeping it secure.

⚙️ How to Use It

  1. Open the PDF in your download and click the link to make your own copy in Google Drive.
  2. Go to the Events sheet and delete the 100 sample rows.
  3. Enter each attendance-related date: ID, Date, Day, Event Name, Time, Location and a short description.
  4. Open the Annual View and choose your year from the dropdown.
  5. Use the Monthly View’s Month and Year dropdowns to check one month at a time.
  6. Set a Start Date and End Date in the Daily View to print a weekly or monthly schedule.
  7. Share the file view-only with staff who only need to read it.

Google explains the formula behind the date-range list in its FILTER function guide, and link sharing in Share files from Google Drive.

💼 Real-World Use Cases

An attendance officer at a secondary school blocks out the weekly Morning Roll Call checks, monthly Absence Follow-up sessions and the term’s Exam Hall Attendance dates, then shares the Annual View with heads of year so nobody books a trip on an exam day.

A school counsellor logs Absence Follow-up meetings in the Counsellor’s Office and Parent-Teacher Meeting slots, and uses the Monthly View to see which weeks are already crowded before offering parents a new time.

A primary school office manager prints the Daily View for the coming week, showing the Health Check-up in the Medical Room, the Field Trip headcount at the bus bay and the Library Reading Sessions, and pins it in the staff room.

❓ Frequently Asked Questions

Does the Student Attendance Calendar in Google Sheets record who was present or absent?

No. It schedules attendance-related events, such as roll calls, late logs, detention sign-ins and parent meetings, on a calendar. It holds no student list, present/absent marks or percentages. For a per-student register, use a dedicated attendance tracker alongside it.

Does it need Google Sheets or Excel?

It is a Google Sheets file. You need a free Google account and a web browser; the PDF in your download holds the link that makes your own editable copy in Google Drive. An Excel edition of this calendar is in preparation but is not part of this download.

Is the sample data real?

No. The 100 events, dates, times and locations are fictional demo rows for 2026 and name no real student or teacher. Delete them from the Events sheet and type in your own school’s dates.

Can I use a different year?

Yes. The Annual View and Monthly View year dropdowns run from five years before the current year to thirty years after it, and the calendars redraw for whichever year you pick.

How long does setup take?

Making the copy takes seconds. Entering a term’s attendance dates usually takes a few minutes, because you only type into the Events sheet and the three calendar views update from it.

How does it compare with a student information system?

A student information system keeps rosters, daily attendance marks, percentages and parent alerts, usually on a subscription. This calendar only schedules and displays dates for a one-time price, which suits schools that already mark attendance elsewhere and want one shared planner.
