📊 Finance Summary Dashboard vs. a Finance Spreadsheet vs. BI Software: Where This Fits

If you already export monthly ledger totals from your accounting software and want a clear financial summary without another subscription, this dashboard fits. If you need bookkeeping, journal posting or tax filing, you need accounting software as well.

👥 Who This Template Is For, and Who It’s Not For

✅ This template is built for:

  • Business owners who want revenue, expenses and profit on one screen
  • Accountants and finance managers who report monthly results and budget variance
  • Controllers who compare actual and budget by account and business unit
  • Small and mid-size businesses with several business units or departments

❌ This template is NOT for:

  • Teams that need bookkeeping, journal posting or invoicing, because it only reports on ledger totals you add
  • Anyone looking for statutory financial statements or tax calculations, which it does not produce
  • Teams that need a live feed from an accounting system, because the rows are pasted or typed into the Data tab

⚙️ How to Use the Finance Summary Dashboard

  1. Open the PDF guide in your download and click the link to open the dashboard.
  2. Choose File, then Make a copy and save it to your own Google Drive.
  3. Go to the Data tab and paste your own ledger totals over the sample rows. Keep the header row unchanged.
  4. Use the slicers on each page to filter the charts and pivots.
  5. Move through Overview, Revenue, Expenses and Budget from the navigation bar at the top.

💼 Real-World Use Cases

The month-end review. A finance manager filters to one quarter on the Overview page and compares revenue, expenses and net income by business unit.

The budget check. A controller opens the Budget page, filters to one business unit and sees which accounts ran over plan and which came in under it.

The cost conversation. An owner looks at the Expenses page, sees which department takes the largest share of spend, and uses the figures in a budgeting meeting.

It turns a year of monthly general-ledger totals into total revenue, total expenses, net income, net profit margin, gross profit and budget against actual, split by business unit, account, department, quarter and month.

No. It is a reporting dashboard. You paste or type ledger totals into the Data tab and the pages report on them. It does not post journal entries or replace your accounting software.

How do I get my own copy?

Open the PDF guide in your download, click the link and choose File, then Make a copy. The copy lands in your Google Drive and is fully editable.

Do I need add-ons, scripts or macros?

Is the sample data real?

No. All business units, accounts and figures on the Data tab are fictional. Replace them with your own trial balance or ledger export.

Can I change the business units, accounts or departments?

Yes. Use your own values in the Data tab columns and the pivots and slicers pick them up.

How is budget variance calculated?

The Instructions tab explains it: favorable variance means revenue above plan or spend below plan, and the Budget page shows it by month, account, business unit and quarter.
