🔑 Test Login Credentials

Sign in as admin to see the whole franchisor, then sign back in as partner to see exactly the same system filtered down to one franchisee’s own outlets. That contrast is the fastest way to understand what you are buying.

💡 These credentials are public by design. They are the seeded starter logins of a shared demonstration instance that is reset from time to time — not a customer deployment, and not the passwords your own copy will run on. When you deploy your own instance you get the same seeded accounts and change every password on first sign-in. What you get after purchase: the full source (Code.gs + Index.html) and a deployment guide, so your own private instance is running in your own Google account inside about fifteen minutes.

🔑 Key Features of the Franchise Royalty Management System Web App

🧮 A royalty engine that prices the agreement, not a guess. Every outlet is billed from its own franchise agreement: a flat percentage, or a banded (tiered) rate table where each monthly sales slab carries its own rate. The computed royalty is then compared against the agreement’s minimum monthly royalty floor and the higher of the two is billed, with the top-up written as its own invoice line.

📅 A one-click monthly period close. Period Close turns every approved sales declaration for a month into a royalty invoice, and the run is re-run safe — a declaration that already carries an invoice is skipped, so a half-finished close can simply be repeated. The seeded database carries 18 closed periods and 1,245 invoices produced this way.

💵 Receivables you can actually chase. Open balances are bucketed Not due / 0-30 / 31-60 / 61-90 / 90+ from the due date, per franchisee and across the whole book. Late-fee interest accrues on overdue invoices at the rate in Settings, receipts are recorded by mode and bank reference, and anything received but not yet matched sits visibly as an on-account balance.

🔎 Sales audits that back charge automatically. Record an audit against an outlet and, when audited sales exceed the declaration by more than the tolerance in Settings (1.5% by default), the system prices the shortfall at that agreement’s own royalty rate, adds the ad fund levy and tax, and raises an Adjustment invoice against the outlet — logged in the audit trail with the audit number.

📣 A brand fund that balances. The ad fund levy billed on every royalty invoice is posted to a ledger against campaign spend, per brand, so contributions, spend, utilisation and closing balance are visible for each brand separately rather than pooled.

🔐 Five roles enforced on the server, not just in the menu. Administrator, Franchise Manager, Finance Officer, Compliance Auditor and Franchisee Portal. Every API entry point guards on a permission before it touches data, passwords are stored as salted SHA-256 hashes, and the Franchisee Portal role filters every screen down to the franchisee that account is tied to.

📦 What’s Inside the Franchise Royalty Management System Web App

21 modules grouped into Overview, Network, Royalty cycle, Brand fund, Assurance, Service, Insight, Administration and Support. Every register carries search, pagination, CSV export and browser printing; declarations, the ad fund and compliance also take a CSV import.

Dashboard

Ten headline tiles for the last complete trading month: Active Outlets, System-wide Net Sales, Royalty Billed, Total Billed, Outstanding Receivables, Overdue Beyond 60 Days, Collection Rate, Declarations to Review, Ad Fund Balance and Renewals in 90 Days — with royalty billed by month, royalty by brand, a brand performance table, receivables ageing, the largest open balances and the declarations awaiting review.

Brands and banded royalty rates

The commercial defaults every new agreement inherits: rate type, royalty percentage, ad fund percentage, technology fee, monthly floor and brand manager. Below it, the banded rate tables — each tier set split into slabs with its own rate — that drive tiered brands.

Franchisees and outlets

Who holds the licences, their GSTIN, credit grade, payment terms, lifetime billed and current outstanding, with a per-franchisee statement of account and a bulk overdue reminder. Outlets add territory, city, store format, opening date and the royalty rate actually in force.

Franchise Agreements

The register the invoices are actually computed from — start, end and renewal dates with a days-to-renewal countdown, rate type, royalty, ad fund, technology fee, floor, payment terms and late fee — sorted soonest renewal first, with renewal reminder emails.

Sales Declarations

Gross sales, the exclusions claimed and the net royalty-bearing sales for each outlet, with the POS reference, the submission timestamp and the approval state. Approve one at a time, approve everything submitted in one action, or chase the outlets that have not declared yet.

Period Close

A card per recent month showing how many approved declarations are still waiting to be billed, a preview before you commit, and a period register recording what each close actually billed: outlets billed, declared net sales, royalty, ad fund, total billed, who closed it and when.

Royalty Invoices and Payments

Every invoice the close produced plus the adjustments raised by audit, with billed, collected, outstanding and accrued late fee on top, and receivables ageing broken down by franchisee. Receipts are captured by mode, bank and reference and allocated against invoices, with on-account balances shown separately.

Sales Audits, Compliance and Support

Audits record declared against audited sales, the variance and the royalty recovered, and raise the back charge when the variance clears tolerance. Compliance and Renewals tracks statutory licences, insurance, training and POS obligations by severity and due date; Support Tickets runs the franchisee help desk against an SLA.

Reports

Twelve standard reports across billing, collection and assurance: royalty billing summary by period, royalty by brand, royalty by franchisee, outstanding receivables ageing, collection and payment summary, sales declaration compliance, outlet league tables by net sales and by royalty, ad fund statement by brand, sales audit variance summary, agreement renewal pipeline and minimum royalty floor invocations. Each one prints and exports to CSV.

👥 Who This Template Is For — and Who It’s Not For

✅ This template is built for:

  • Franchisors running roughly 10-300 outlets who are still billing royalty out of a spreadsheet
  • Multi-brand franchise groups where different brands bill on different rate structures
  • Area developers and master franchisees who invoice sub-franchisees monthly
  • Finance teams that need receivables ageing, late-fee accrual and a collection rate they can defend
  • Consultants and template resellers who want deployable Apps Script source they can rebrand

❌ This template is NOT for:

  • Anyone needing an accounting system of record — this bills and tracks royalty, it is not your general ledger and it does not replace your accounting software
  • Networks that need card processing, auto-debit or a payment gateway — receipts are recorded here, not collected here
  • Enterprise groups with SOC 2, SSO or data-residency requirements
  • Anyone expecting the system to satisfy franchise-disclosure, tax or audit obligations — those remain entirely yours, and you should take your own professional advice
  • Single-outlet businesses with no franchisees to bill

⚙️ How to Use the Franchise Royalty Management System Web App

  1. Try the demo first. Open the live demo above, sign in as admin, then as partner, and confirm the workflow matches how your network actually bills before you buy.
  2. Unzip the download. Paste Code.cs.txt into a new Apps Script project’s Code.gs and Index.txt into an HTML file named exactly Index.
  3. Deploy > New deployment > Web app, Execute as Me, access Anyone, and accept the Google permission prompt.
  4. Open the web app URL and press Run first-time setup on the sign-in card. Setup is staged and resumable, so Google’s execution limit cannot break it.
  5. Sign in as admin, change every seeded password, then create real accounts for your team and disable the demonstration ones.
  6. Set your organisation identity, currency, tax rate, invoice prefixes, payment terms, late fee and audit tolerance in Settings.
  7. Replace the demonstration network: enter your brands and rate bands, then your franchisees, outlets and agreements.
  8. Each month, collect declarations, approve them, run Period Close, email the invoices and record receipts against them.

💼 Real-World Use Cases

Meera runs finance for a six-brand food and fitness franchisor with 72 outlets. Two of her brands bill on banded rates and four on a flat percentage, and every one carries a monthly floor. She replaced a stack of monthly workbooks with one Period Close run, and now sees the collection rate and the 90+ day bucket on the dashboard instead of rebuilding them by hand.

Arjun is an area developer with eleven sub-franchisees. He gives each of them the Franchisee Portal login. They enter and submit their own sales declarations, see their own invoices and receipts, and raise tickets — which ended the monthly email chase without giving anyone sight of another franchisee’s numbers.

Pooja audits declared sales for a preschool network. When a POS data pull shows audited sales above the declaration by more than the tolerance, she records the audit and the system prices the shortfall at that agreement’s own rate and raises the adjustment invoice — with the audit number on the invoice and the whole thing in the audit log.

❓ Frequently Asked Questions

Can I try it before buying?

Yes. The Franchise Royalty Management System Web App has a live demo linked at the top of this page with logins for all five roles. It runs on a shared demonstration instance seeded with 11,028 rows and 18 closed billing periods, so you can run reports and open real invoices before you spend anything.

How does the Franchise Royalty Management System Web App calculate royalty?

From each outlet’s franchise agreement. A flat agreement bills net royalty-bearing sales at one percentage; a tiered agreement sums the marginal amount in each sales band. The result is compared with the agreement’s minimum monthly royalty floor and the higher figure is billed, alongside the ad fund levy, technology fee and tax.

How long does setup take?

About fifteen minutes. Paste the two files into a new Apps Script project, deploy it as a web app, then run the first-time setup from the sign-in card. Setup is staged and resumable, and every stage is idempotent, so an interrupted run simply continues where it stopped.

Where is my data stored?

In a Google Sheets database that the Franchise Royalty Management System Web App creates inside your own Google Drive, on your own Google account. Nothing is sent to NextGenTemplates, and the Administrator role can take a dated backup copy to Drive at any time.

How does this compare to paid franchise management software?

Paid franchise platforms are quoted per location and renew every year; the Franchise Royalty Management System Web App is a one-time purchase with no per-user fee and you receive the full source code. It does not try to replace their CRM, lead-development or field-audit mobile suites — it does royalty billing, receivables, audits and compliance well.

Is this an accounting system?

No. The Franchise Royalty Management System Web App bills royalty and tracks what franchisees owe and have paid. It is not a general ledger, it does not process card payments or direct debits, and it makes no franchise-disclosure, tax, legal or regulatory compliance claim. Keep using your accounting software and your own professional advisers.

Can I change the modules or the branding?

Yes. You receive Code.gs and Index.html in full, so the Franchise Royalty Management System Web App can be renamed, re-coloured, extended with new fields or trimmed. Write to info@NextGenTemplates.Com if you would rather we tailor it for you.
