🚀 Try the Live Demo Before You Buy
We have deployed this web app in our own Google account so you can test every page and all 6 roles with realistic sample data before purchasing. No signup, no email required.
🔑 Test Login Credentials
Sign in as admin to see everything, including Users, the permission matrix, Settings, the Audit log and the Database archive. Then sign in as frontdesk or docofficer and watch the sidebar shrink to that role’s screens.
💡 These are the public logins of a shared demo instance that we reset regularly, not a system you would share with other buyers. Please do not enter real applicant data in the demo. What you get after purchase: the full source code (Code.gs + Index.html) and a user manual PDF with step-by-step deployment, so you run your own private copy in your own Google account.
🔑 Key Features of the Immigration Consultancy Management System
📊 Practice dashboard with 8 live cards. Open cases, submitted this month, approval rate, average processing days, collected this month, outstanding fees, documents expiring and appointments today, followed by charts for new cases, submissions and approvals by month, fees collected by month, case pipeline by stage, approval rate by destination, revenue by visa category and consultant caseload.
🗂️ Applicant and family records in one file. Each applicant carries identity, passport, contact, education, language test and lead source details, and spouses, children and parents are recorded as dependants with passport number, expiry, dependant flag and medical status.
✈️ Visa cases across 7 categories and 8 destination countries in the sample data. Student Visa, Work Permit, Visitor Visa, Family Sponsorship, Permanent Residence, Citizenship and Business Investor files move through stages from Enquiry and Consultation to Retainer Signed, Document Collection, Language Test, Application Drafting, Submitted, Biometrics, Interview, Decision and Landing Support.
✅ A submission gate that enforces your own rules. A case cannot be logged as submitted until its retainer agreement is signed and its mandatory document checklist reaches the percentage you set in Settings (80% by default). The error message tells the user exactly how many documents are still missing.
📅 Document expiry tracking. The document register records every passport, police clearance, medical, bank statement and test score with issue date, expiry date, days left and verification status. Warning and critical thresholds (60 and 30 days by default) are editable, and a daily email alert can list what is expiring.
💵 Fees, invoices, payments and refunds. Consultancy, government, courier and translation fees roll up into invoices with tax, paid and balance columns, receipts are recorded by payment mode, and refunds carry a reason and an approval status. Amounts show in whatever currency symbol you set; the sample practice uses Rs.
🔐 6 roles and 49 permissions, checked on the server. The sidebar hides what a role may not open, and every server call checks the same permission again. An audit log records sign-ins, creates, updates and exports with user, role, module and record.

Applicants and Clients
The client master file with people on file, prospects, conversion rate, where clients come from and preferred destinations, plus search and filters by status, destination, city and source.

Visa Cases
One row per application with category, destination, stage, document completeness, billed and outstanding amounts, and charts for the pipeline by stage and cases by category.

👥 Who This Template Is For — and Who It’s Not For
✅ This template is built for:
- Small and mid-sized visa and immigration consultancies with 2-20 staff
- Study-abroad and education agents who manage documents, fees and partner referrals
- Practices that already work in Google Workspace and want their data in their own Drive
❌ This template is NOT for:
- Anyone looking for immigration legal advice or eligibility assessment. The software records work; it does not judge eligibility or predict any visa outcome
- Firms that need a client self-service portal or direct integration with government e-filing portals
- Large firms that need enterprise single sign-on or formal data protection certification
⚙️ How to Use the Immigration Consultancy Management System

- Add an HTML file named exactly Index and paste Index.txt into it.
- Deploy as a web app (Execute as: Me, Who has access: Anyone).

- Sign in as the administrator and change every seeded password from the Users screen.
- Fill in Settings, clear the sample rows, and start entering your own applicants.
💼 Real-World Use Cases
A three-consultant student visa agency. The front desk books consultations in the appointment diary, the documentation officer ticks off transcripts and bank statements, and the owner checks the approval rate by destination each Monday.
A family sponsorship practice. Spouses and children sit under the principal applicant, passport expiry dates feed the expiry alert, and the accounts executive tracks retainer deposits and government fees against every invoice.
A consultancy that works with referral partners. The Referral partners screen shows referrals, approvals, revenue and commission due for each language institute or overseas associate.
❓ Frequently Asked Questions
Can I try it before buying?
Yes. The live demo above runs the full Immigration Consultancy Management System Web App with sample data. Use any of the six public demo logins to test every screen and role before you purchase.
Does it give immigration advice or guarantee visa approvals?
No. It is record-keeping and workflow software. It does not assess eligibility, give legal advice or predict outcomes, and it is not a licensed-adviser tool. Approval rates on the dashboard simply count decisions you record.
Does it connect to embassy or government portals?
No. Submissions, tracking numbers and decisions are entered by your staff. There is no e-filing or government portal integration.
Who owns the applicant data?
You do. Your copy runs in your own Google account and stores data in your own spreadsheet and Drive folders. Passport numbers and scans are personal data, so restrict who can open the database and review Drive sharing on uploaded files.
How long does setup take?
Pasting the code and deploying takes about 15 minutes. The database build is staged and resumable, so on a slow account it pauses and continues by itself.
Can I change the currency?
Yes. The sample practice uses Rs., and Settings lets you set your own currency symbol, service tax percentage, invoice due days and retainer deposit percentage.
