The Admission Season Calendar in Google Sheets is a planning calendar for the admission season of a school, college or coaching institute. It ships with 100 sample events dated 9 January to 28 December 2026, covering 20 event types such as Entrance Examination, Personal Interview Round, Document Verification Drive and Hostel Allotment across 32 locations, and shows them in an Annual View, a Monthly View and a date-range Daily View that all read from one Events sheet.
It runs on a Google account: open the PDF in your download, click the sheet link, choose Make a copy, and the editable file is saved to your own Google Drive.
✅ Instant download · One-time payment · No subscription · No per-user fees · Lifetime access
🔑 Key Features of the Admission Season Calendar in Google Sheets
📅 Annual View with 12 month grids. Type a year into the Year box and all twelve months of that year redraw. Every date that holds at least one event is shaded, so the crowded weeks of the season stand out without opening a single month.
🗓️ Monthly View with Month and Year dropdowns. Each date cell shows the first event booked on that day, and a “1 more…” line appears when a second event shares the date. In the sample, 17 August carries New Student Orientation plus “1 more…” for the Scholarship & Aptitude Test.
📋 Daily View for any date range. Enter a Start Date and an End Date and the sheet lists every event between them with ID, date, day, event name, time, location and description. It is built on the Google Sheets FILTER function; the sample August 2026 range returns 9 events, IDs 59 to 67.
🧾 One Events sheet drives every view. The Annual, Monthly and Daily views are formulas that read the Events table, so you change a date or add a row in one place and all three views follow.
🏫 A full admission cycle as sample data. Online Application Window Opens, Campus Open House, Virtual Admissions Webinar, Group Discussion Round, Merit List Publication, Seat Allotment Round, Provisional Admission Confirmation, Fee Payment Deadline and Bridge Course Enrolment are pre-filled, so you can see how a season reads before you replace them with your own dates.
🔗 Home page navigation. Four buttons on Home open the Annual View, Monthly View, Daily View and Events tabs, and each view carries a Back link.

For an admissions office that wants one shared season calendar without buying an applicant-management system, this template covers the scheduling side and deliberately nothing more.
👥 Who This Template Is For — and Who It’s Not For
✅ This template is built for:
- Admissions coordinators at schools, colleges and coaching institutes who publish an internal admission timeline
- Registrar and front-office teams sharing interview, document verification and counselling slots
- Hostel, medical and orientation teams who need to see when their part of the season falls
❌ This template is NOT for:
- Institutions that need to collect applications, store applicant records, rank candidates or take fees — that is an admissions management system
- Teams that need automatic reminders, end times or Google Calendar sync
- Anyone looking for official admission deadlines — every sample date is fictional
⚠️ What This Calendar Does Not Do
It is a planning calendar of admission-season events, not an admissions or applicant-tracking system. There are no applicant fields, application forms, merit calculations, seat matrices or payment collection. It sends no emails, SMS or reminders and does not sync with Google Calendar. Each event has a start time but no end time, and the Day column is typed text, so it does not change when you edit a date. The sample dates are illustrative and do not reflect any board, university or government schedule. If you type student or parent details into the Description column, keeping that data secure is your responsibility.
⚙️ How to Use It
- Open the PDF in your download and click the Google Sheets link while signed in to your Google account.
- Choose File > Make a copy to save an editable version to your Drive.
- On the Events tab, overwrite the 100 sample rows with your own dates, event names, times, locations and descriptions.
- Type the correct weekday into the Day column for every date you enter or change.
- Set the Year on Annual View, the Month and Year on Monthly View, or a Start and End Date on Daily View.
- Share the file view-only with staff who need the schedule but should not edit it, using Google’s sharing guide.
💼 Real-World Use Cases
A college admissions coordinator enters the open houses, the entrance examination, group discussion rounds, interview panels and the merit list date, then shares a view-only link so faculty panel members can check the Monthly View before blocking their diaries.
A coaching institute’s front desk keeps virtual admissions webinars, career counselling sessions and bridge course enrolment days in one sheet, and sets the Daily View to the coming week each Monday to brief the help desk.
A residential school’s hostel and orientation team sets the Daily View to the weeks before term starts and sees hostel allotment, medical fitness checks and new student orientation side by side, with the room or office for each.
❓ Frequently Asked Questions
Is this an admissions management or applicant tracking system?
No. The Admission Season Calendar is a scheduling template for admission-season events. It stores an event name, date, time, location and description only, and has no applicant records, application forms, merit lists or fee collection. Use it alongside whatever system handles your applications.
Are the sample admission dates real deadlines?
No. All 100 sample events are fictional examples dated across 2026 to show how the views work. They are not tied to any board, university or government admission schedule. Delete them and enter the dates your institution publishes.
What do I need to use it?
A Google account and a web browser, or the Google Sheets mobile app. Open the PDF from your download, follow its link and choose Make a copy. The copy lives in your own Drive, and there is no add-on to install.
What happens when two events fall on the same day?
The Daily View lists both events in full. The Monthly View shows the first event name in the date cell and adds a “1 more…” line underneath. In the sample this happens on 15 May and 17 August, the two dates that carry two events each.
Can it send reminders or sync with Google Calendar?
No. The Admission Season Calendar in Google Sheets sends no email, SMS or push reminders and does not connect to Google Calendar. It is a shared spreadsheet you open to check the schedule; staff can bookmark it or you can share a view-only link.
How long does setup take?
Making the copy takes about a minute. After that, setup is the time it takes to type or paste your own events into the Events tab; the Annual, Monthly and Daily views update as soon as the rows are in place.
How does it compare with a paid admissions CRM?
A paid admissions CRM manages applicants, forms, communication and payments on a subscription. This calendar only schedules the season’s events, for a one-time $4.99. If you already have an application system, the calendar gives staff a simple shared timeline beside it.
