The header strip holds Select Month, the MTD / YTD toggle and the Vs. Target / Vs. PY toggle. 2. KPI Trend – one KPI at a time

A single dropdown picks the KPI. The page then fills in its KPI Group, Unit, Type (UTB or LTB), Formula and Definition, and draws two grouped column charts across Jan to Dec – Actual vs Target vs PY (MTD) and Actual vs Target vs PY (YTD), with Target as a line over the bars.

3. KPI Definition – the reference table

Ten rows, one per KPI, with number, group, name, unit, formula and definition, plus the UTB/LTB flag. This is the tab you edit when you want to rename a KPI or change how it is calculated. The formulas are spelled out in plain English – for example, Extinguisher Servicing Compliance = Extinguishers Serviced On Schedule / Total Extinguishers x 100, and Mean Emergency Response Time = Total Response Minutes / Emergency Callouts.

4. Input Data – where your numbers go

Ten stacked blocks, KPI-1 through KPI-10. Each block is 12 rows, one per month, with six typed columns: MTD Actual, MTD Target, MTD PY, then YTD Actual, YTD Target, YTD PY. That is 120 rows of numbers in total, and it is the only place you type. There are no formulas to protect and no source system to connect.

The remaining four tabs – Read Me, Color Settings, Support and Trend_Support – are setup and plumbing. Color Settings is worth opening: it holds the RAG variance table for upper-the-better and lower-the-better KPIs separately. Support and Trend_Support are the lookup engine and are best left alone.

Two Build Notes You Should Read Before You Buy

We opened this workbook and checked it. Two things need a minute of your time after you make your copy, and we would rather say so here than let you find them yourself.

  1. The Select Month list does not match the data for two months. The dropdown on the Scorecard tab offers Jan, Feb, Mar, Apr, May, June, July, Aug, Sep, Oct, Nov, Dec, while the Input Data tab stores those two as Jun and Jul. The scorecard matches the month as exact text, so picking June or July returns no match and all ten cards go blank. The other ten months work correctly. Fix: select cell N1 on the Scorecard tab, open Data > Data validation, and change the two long names in the list to Jun and Jul.
  2. The Read Me tab is empty. Completely blank – no cells, no content. Everything it would have told you is in the How to Use steps below and on the KPI Definition tab, but there is no starting page inside the file itself.

Neither of these touches a calculation. The formulas, the RAG logic, the UTB/LTB flags and all 120 rows of sample data are correct and internally consistent – we checked every traffic light against its variance on all ten cards.

Who This Template Is For – and Who It Is Not For

It is for you if you run a fire-safety servicing business – extinguisher servicing, alarm and suppression testing, inspection contracts – with roughly 2 to 25 technicians, you already have your monthly totals somewhere (a job system, a service book, an accountant’s export), and you want a monthly review page instead of a spreadsheet nobody opens.

It is not for you if you want live job tracking, dispatch, scheduling, asset registers or automatic sync from a service platform – none of that is here. It is also not a compliance, certification or code-conformance tool. It does not check anything against NFPA, BS or any other standard, it does not issue or store inspection certificates, and it holds no record of any individual inspection, device, premises or engineer. It reports ten monthly numbers that you type in, and nothing else. And it is not for you if you need a daily or weekly view: the grain is one row per KPI per month, full stop.

How to Use the Fire Safety Services KPI Scorecard in Google Sheets

  1. Open the PDF in your download and click the “Make a copy” link. That creates your own editable copy in your Google Drive.
  2. Fix the month list first. On the Scorecard tab, select N1, open Data > Data validation and change “June” and “July” in the list to “Jun” and “Jul” so they match the Input Data tab. It takes about thirty seconds and it is the first thing to do.
  3. Read the KPI Definition tab next. Check the ten formulas match how you actually count things – “Total Jobs”, for instance, may or may not include quoted work that never converted in your books.
  4. Rename any KPI that does not fit on the KPI Definition tab. The Scorecard, the KPI Trend page and the Input Data blocks all read their names from there.
  5. Enter your numbers on Input Data, block by block. Each KPI gets 12 months of MTD Actual / Target / PY and YTD Actual / Target / PY.
  6. Set your RAG bands on Color Settings – there are separate variance rules for upper-the-better and lower-the-better KPIs.
  7. Use the Scorecard for the monthly review: pick the month, look at the reds first, then switch Vs. Target to Vs. PY to see whether a red is a bad month or a bad year.
  8. Use the KPI Trend page to dig in on whichever KPI turned red, and read its formula on the same screen so the discussion stays about the number and not about how it was worked out.

Real-World Use Cases

A six-technician extinguisher and alarm servicing firm watches Overdue Inspections and Extinguisher Servicing Compliance together. In the sample data, Compliance sits green at 89.3% while Overdue Inspections is red at 18.6 against a 16.0 target – the pattern of a team that services well but schedules late. The scorecard does not diagnose that; it shows the owner exactly where to start asking.

An owner taking over a family business back-fills last year into the PY columns from the accountant’s monthly summaries, sets this year’s targets, and now has a single page reviewed on the last Friday of every month. False Alarm Rate is the card watched hardest, because it is lower-the-better and it drives callout cost.

A two-van operation uses only the Inspection & Compliance and Response & Emergency groups – five KPIs – and leaves the other five on sample data until it has real figures to put in them. Do I need a paid Google Workspace account?

No. A free personal Google account is enough. You open the PDF, click the copy link, and the copy lands in your own Drive.

Will selecting June or July really blank the scorecard?

Yes, until you fix the dropdown. The Select Month list offers the long names “June” and “July” while the Input Data tab stores “Jun” and “Jul”, and the lookup is an exact text match, so no month row is found and every card comes back empty. Editing the two entries in the data validation list on cell N1 fixes it permanently. Why do five KPIs go red when the number goes up?

Overdue Inspections, Code Violation Closure Time, Mean Emergency Response Time, False Alarm Rate and Service Callback Rate are flagged LTB – lower the better.
