Paving Contractor KPI Dashboard in Excel is a 100% formula-driven monthly KPI scorecard for asphalt and hot-mix paving contractors. Pick a month from one dropdown and the whole workbook re-reads: 14 paving KPIs with MTD and YTD actual, target, achievement percentage, traffic-light status, prior-year comparator and a direction-aware arrow, plus a group roll-up and a top-and-bottom-five ranking. No macros. No Power Query. No data model. It opens in Excel 2013 and later, and in Excel for the web.
Please read this first – this is the KPI DASHBOARD line, not the KPI Scorecard line and not the analytical dashboard line. NextGenTemplates ships three different families with near-identical names, and this listing is only one of them:
- This product – the KPI Dashboard (month-picker scorecard). A month dropdown, seven summary cards, 14 KPI rows in an MTD block and a YTD block side by side, a single-KPI trend page with two combo charts, and a group-analysis page. You type the numbers; the workbook scores them.
- The KPI Scorecard line (for example Paving Contractor KPI Scorecard in Excel and Paving Contractor KPI Scorecard in Google Sheets) is a separate, smaller template with a different sheet layout and a different KPI count. It is a companion, not this file.
- The analytical dashboards (for example Road and Highway Construction Dashboard in Excel) are pivot-and-slicer analysis workbooks built over a transaction table. They answer “slice my data”; this one answers “did we hit target this month”.
If you want the pivot-driven analytical workbook or the smaller scorecard, buy those instead – they are linked at the bottom of this page.
Key Features of the Paving Contractor KPI Dashboard in Excel
- One month dropdown drives everything. Cell D6 on KPI Dashboard lists the twelve months of your reporting year. Change it and the scorecard, the summary cards and the whole KPI Analysis page follow. There is no refresh step and no query to run.
- 14 paving KPIs across six groups – Operations (5), Financial (3), Quality (2), Safety (2), Equipment (1) and Customer (1).
- Direction-aware scoring, done properly. Each KPI is flagged UTB (Upper The Better) or LTB (Lower The Better) in the KPI Definition sheet. Ten of the 14 are UTB; four are LTB – Recordable Incident Rate (TRIR), Rework Rate, Days Sales Outstanding and Material Waste. Achievement is Actual divided by Target for a UTB KPI and Target divided by Actual for an LTB one, so cutting your rework rate scores above 100% instead of reading as a miss.
- Seven summary cards across the top of the scorecard: Total KPIs Tracked, On Target (YTD), At Risk (YTD), Missed (YTD), Improving vs PY (MTD), Avg Achievement (MTD) and Avg Achievement (YTD). In the shipped September 2025 sample they read 14, 7, 5, 2, 9 of 14, 100.4% and 99.1%.
- Traffic lights you can edit. On Target from 100%, At Risk from 95% to 99%, Missed below 95%. The thresholds sit in ordinary IF formulas in columns L and U of the scorecard – change them to match your own governance.
- MTD and YTD side by side for every KPI, each with actual, target, achievement, status, prior year and a year-on-year percentage.
- A single-KPI trend page. Pick any KPI from the dropdown in cell B4 on KPI Trend and its attribute strip, formula, definition, twelve-month table and two combo charts (MTD and YTD – actual and prior-year columns with a target line) all redraw.
- A group-analysis page. KPI Analysis rolls achievement up by KPI group with an “Average YTD Achievement by KPI Group” bar chart, and ranks the Top 5 and Bottom 5 KPIs on YTD achievement. Because the ranking uses achievement rather than raw value, a lower-is-better metric that beats target ranks near the top – TRIR sits at number 5 in the shipped sample.
- Add, rename or remove KPIs without touching a formula. The sheets are wired for 22 KPIs; 14 are filled and the remaining eight rows are live and empty. Type a KPI on KPI Definition and it flows through the three input sheets, the scorecard, the trend page and the analysis page automatically.
- Plain worksheet formulas only – VLOOKUP, INDEX, MATCH, COUNTIF, COUNTIFS, AVERAGEIF, LARGE and SMALL. Nothing is locked, nothing is hidden from you, and every number can be traced.
What Is Inside the Paving Contractor KPI Dashboard in Excel
The workbook has eleven sheets – ten you can see and one hidden helper sheet.
| Sheet | What it does |
|---|---|
| Home | Navigation panel – dashboard pages, input sheets and reference sheets – plus a short summary of what the template does. |
| KPI Dashboard | The scorecard. Month dropdown, seven summary cards, and one row per KPI with MTD and YTD actual, target, achievement, status, prior year and year-on-year movement. |
| KPI Trend | One KPI at a time – its group, unit, type, owner, priority and frequency, its formula and definition, a twelve-month table, and MTD and YTD combo charts. |
| KPI Analysis | Achievement rolled up by KPI group with a bar chart, plus Top 5 and Bottom 5 performing KPIs for the year to date. |
| KPI Input – Actual | Your actual results, MTD and YTD, for each of the twelve months. Cell E3 sets the first month of the reporting year and everything else re-bases from it. |
| KPI Input – Target | Your targets, on the same grid. Month headers follow the Actual sheet. |
| KPI Input – PY | Last year’s results, for the prior-year comparator columns. |
| KPI Definition | The master list – number, group, name, unit, formula, definition, UTB/LTB type, owner, priority and frequency. Every other sheet reads from here. |
| Support (hidden) | Helper calculations – selected month, arrow glyphs, the month dropdown list, the trend series behind the charts, the distinct group list and the ranking helpers. |
| Read Me | How the workbook is wired, in plain English – the five-minute setup, the rules the numbers follow, and how to add or remove KPIs. |

| 3 | Compaction Density Achieved | Quality | % | UTB | Quality Manager |
| 4 | Gross Job Margin | Financial | % | UTB | Estimating Lead |
| 5 | Recordable Incident Rate (TRIR) | Safety | Index | LTB | Safety Director |
| 6 | Equipment Uptime | Equipment | % | UTB | Fleet Manager |
| 7 | Rework Rate | Quality | % | LTB | Quality Manager |
| 8 | Customer Satisfaction Score | Customer | % | UTB | Account Manager |
| 9 | Days Sales Outstanding | Financial | Days | LTB | Controller |

Every one carries its own formula text and a plain-English definition on the KPI Definition sheet – for example Compaction Density Achieved is defined as “Field Core Density / Theoretical Maximum Density x 100”, and Crew Productivity as “Square Yards Placed / Crew Paving Days”. Rename any of them and the rest of the workbook follows.

Who This Template Is For – and Who It Is Not For
A good fit if you are a paving or asphalt contractor, a highway or municipal surfacing crew, a driveway and parking-lot company, or a civil sub who already keeps monthly numbers in a spreadsheet and wants one page that scores them against target. It suits an operations manager, a paving superintendent, an owner or a controller preparing a monthly management pack.
Not a good fit if you need the workbook to connect to your accounting, estimating, telematics or job-costing system – it does not connect to anything. It is also not the right choice if you need per-job or per-crew drilldown, alerts, scheduled emails, or multi-user live editing. And it is not a safety, OSHA or quality recordkeeping system: Recordable Incident Rate (TRIR) and Toolbox Talk Completion are numbers you type in, not evidence of anything, and the file holds no incident log, no OSHA 300 form, no core-test record and no mix-design document.
How to Use the Paving Contractor KPI Dashboard in Excel
- Unzip and open the .xlsx in Microsoft Excel. Nothing to install, no macro prompt to accept.
- Set your reporting year. Cell E3 on KPI Input – Actual is the first month. Change it and the Target sheet, the Prior Year sheet, the month dropdown and every sheet title re-base automatically.
- Edit the KPI list on KPI Definition if the shipped 14 are not yours – number, group, name, unit, formula, definition, UTB or LTB, owner, priority and frequency. The three input sheets pick up the names immediately.
- Type your numbers over the sample year on the three input sheets – Actual, Target and PY. Each holds an MTD and a YTD column for every month.
- Pick a month in cell D6 on KPI Dashboard. The scorecard and the KPI Analysis page follow it.
- Pick a KPI in cell B4 on KPI Trend to see its twelve-month table and both charts.
- Tune the thresholds in columns L and U of the scorecard if your governance uses bands other than 100 and 95.
Real-World Use Cases
- Monthly management meeting. Set the month, print or screenshot the KPI Dashboard, and the conversation starts from seven cards rather than a spreadsheet argument.
- Quality review. In the shipped sample the Quality group is the weakest at 93.2% YTD, with Rework Rate and Compaction Density Achieved both sitting in the Bottom 5 – exactly the pattern the analysis page is designed to surface.
- Bid and margin watch. Gross Job Margin, Bid Win Rate and Days Sales Outstanding sit together in the Financial group, so an estimating lead and a controller can read one roll-up figure.
- Season-over-season comparison. The prior-year columns and the Improving vs PY card show how many KPIs are genuinely better than last year, direction-aware, rather than just up or down.
- Board or lender reporting. The KPI Trend page gives a clean twelve-month picture of a single metric with its target line and last year’s bars.
Frequently Asked Questions
Is this the KPI Dashboard, the KPI Scorecard, or the analytical dashboard?
This is the KPI Dashboard – the month-picker scorecard with traffic lights, a KPI Trend page and a KPI Analysis page. Paving Contractor KPI Scorecard in Excel and Paving Contractor KPI Scorecard in Google Sheets are a different, smaller template family with their own layout. The analytical Dashboard products are pivot-and-slicer workbooks over a transaction table. Three different files, three different jobs.
Do I need macros, Power Query or a data model?
No. Every number is an ordinary worksheet formula. There is no VBA, no Power Query, no Power Pivot and no add-in. The file is a plain .xlsx and opens in Excel 2013 and later and in Excel for the web.
Does the workbook calculate YTD from my monthly numbers?
No, and this is deliberate. MTD and YTD are both typed on the input sheets. The workbook does not sum or average MTD into YTD for you – it reads whatever you enter in the YTD column. That is so you keep control of how your YTD is defined: volumes and counts accumulate, while rates, ratios and indices should be running averages rather than a percentage that sums to 1,100% by December. If you want YTD derived, replace the YTD cells with your own formula – nothing is locked.
What does the Frequency column actually do?
It is documentation, not a switch. Three KPIs are labelled Weekly (Compaction Density Achieved, Crew Productivity, Toolbox Talk Completion) but the input grid is monthly for all 14. Change the label freely; it does not alter any calculation.
Can I add more than 14 KPIs?
Yes. The sheets are wired for 22, so eight live empty rows are already waiting – fill the next row on KPI Definition and type its numbers in. To go beyond 22, select the last data row on each sheet and fill down, then widen the ranges in the summary cards on row 4 of the scorecard and in the Support helper columns. The Read Me sheet spells this out.
Does it track safety incidents or store OSHA records?
No. TRIR appears as a KPI because paving contractors report it, but the value is one number you type per month. There is no incident log, no OSHA 300 or 300A form, no near-miss register and no training-record store. Keep your statutory records in whatever system you already use; this workbook only charts the rate you give it.
Are the sample numbers real paving benchmarks?
No. The 2025 sample year is realistic-looking demo data so you can see the scorecard working the moment you open it. It is not industry benchmark data and should not be quoted as such. Type over it with your own figures.
Can I change the currency, units and KPI names?
Yes. Units are free text on KPI Definition, the number formats are ordinary Excel cell formats, and renaming a KPI on KPI Definition renames it everywhere else automatically.
