What This Template Is Not – CCTV Scope and Data Protection

CCTV is surveillance of people, so the boundary matters. This is an Excel reporting template over data the buyer types in, holding installation project records only. It does not:

• view, record, store, analyse or process any video, image or footage;
• perform or enable facial recognition, biometric identification or video analytics;
• establish compliance with the GDPR or UK GDPR, the EU AI Act, the Data Protection Act 2018, the Surveillance Camera Code of Practice, BIPA, state CCTV or two-party-consent laws, data-retention rules, or any installer licensing scheme such as the SIA or state alarm and CCTV licences;
• constitute a Data Protection Impact Assessment, a surveillance risk assessment, a system design, a commissioning record or an inspection certificate;
• certify camera performance, coverage, uptime or evidential quality – the System Uptime KPI is a number you type in, not a measurement the file takes.

Data-protection caveat. If you choose to record client site names, camera locations, addresses, technician names or any other personal data in this workbook, lawful handling, storage, access control and retention of that data are entirely your responsibility. How to Use It

1. Download the ZIP and unzip it. It contains the Excel workbook and the Excel KPI Dashboard user manual (PDF).
2. Open the workbook in Microsoft Excel. There is nothing to install, enable or refresh.
3. On KPI Definition, adjust KPI names, groups, units, formulas, owners, priorities and the UTB / LTB flag to match your business. Every other sheet follows this list.
4. Set cell E3 on KPI Input – Actual to the first month of your reporting year.
5. Replace the sample MTD and YTD figures on the Actual, Target and PY sheets with your own.
6. Pick a month on KPI Dashboard and a KPI on KPI Trend, then run your review.

Known Issues in This Release – Disclosed Up Front

We recomputed the CCTV Installation KPI Dashboard in Excel against its own source sheets and publish what we found rather than letting you discover it.

• KPI count in the on-sheet copy. The Home sheet and the Read Me sheet both say “14 KPIs” while the workbook actually ships 15. The dashboard’s own Total KPIs Tracked card correctly reads 15, and every formula counts the real rows – only the two sentences of prose are stale. Correct them in the cells if it bothers you; nothing calculates from them.
• Truncated group names. On the KPI Analysis sheet, the KPI Group column in the Top 5 and Bottom 5 tables is too narrow, so “Quality & Commissioning” prints as “Quality & Commissioni”. Widen the column to fix it.
• Clipped Read Me row. The “Cumulative or average YTD” row on the Read Me sheet is slightly too short, so its last line is cut off. Increase the row height to read it in full.
• A generic example left in the Read Me. That same paragraph illustrates cumulative KPIs with “aircraft deliveries, non-conformance reports” – wording carried over from the shared template rather than written for CCTV. The rule it describes is correct and is applied correctly in this file.
• Counts shown with two decimals. The dashboard formats every actual, target and prior-year cell as #,##0.00, so the Camera Systems Installed count reads 181.00 rather than 181, and USD KPIs carry no currency symbol (the Unit column names it instead). Change the number format per row if you prefer.
• Reading the vs PY percentage. The vs PY figure is a raw Actual divided by Prior Year ratio, not a direction-aware score. On a lower-is-better KPI a value above 100% means worse – Warranty / RMA Rate at 107.0% YTD is a deterioration. The arrow colour beside it is the direction-aware signal, and it is correct.

What we checked and found clean: we recomputed every headline figure from the three input sheets. The seven summary cards reconcile exactly – 15 KPIs, 8 On Target, 4 At Risk, 3 Missed, Avg Achievement 97.7% MTD and 97.9% YTD all match a fresh calculation, and “7 of 15 improving vs PY” is computed direction-aware (upper-the-better above prior year, lower-the-better below it), not by raw movement. YTD is a running sum for counts and a running average for rates, so no percentage sums to 1,100% by December. The KPI Analysis group averages and the Top 5 and Bottom 5 rankings all reproduce exactly. Chart axes carry full unbroken numbers with no abbreviation collisions, no bar overruns and no label-over-label collisions. Units are sane throughout – cycle time is genuinely in days at around 4.3, not a minutes-versus-seconds mix-up – and digit grouping is standard Western (4,893.00), not Indian.

Real-World Use Cases

Installation manager. Reads Camera Systems Installed, On-Time Installation Rate and Average Install Cycle Time together before committing next month’s crew capacity.

QA lead. Watches First-Time Commissioning Pass Rate, Image-Quality QA Pass Rate, Cabling Rework Rate and Warranty / RMA Rate as one group, because rework and RMA usually trace back to a commissioning miss.

Service manager. Pairs System Uptime with Service-Call Callback Rate and CSAT to see whether a good uptime number is being bought with repeat visits.

Owner. Uses Quote-to-Close Rate, Average Job Value, Remote-Monitoring Attach Rate and Revenue per Technician to judge whether growth is coming from volume, price or recurring revenue.

Frequently Asked Questions

Does this handle CCTV footage or make our surveillance compliant?

No – to both. The workbook never touches video, images or footage, and it creates no compliance position under the GDPR or UK GDPR, the EU AI Act, the DPA 2018, the Surveillance Camera Code of Practice, BIPA, state CCTV or consent laws, or any installer licensing scheme. It is a spreadsheet that adds up numbers you type in.

Are the numbers in the screenshots real?

No. Every KPI figure shipped in the file is buyer-entered demo data, generated so the dashboard, charts and status flags have something to display. Replace all of it with your own results.

Can I change the KPI names, groups and targets?

Yes. Edit the KPI Definition sheet – number, group, name, unit, formula, definition, UTB / LTB type, owner, priority and frequency. The three input sheets, the dashboard, the trend page and the analysis page all read from it. The sheets are wired for 22 KPIs, so you can add seven more without writing a formula.

Does it need Power Query, Power Pivot or macros?

No. It is plain worksheet formulas – VLOOKUP, MATCH, INDEX and COUNTIF – plus conditional formatting. It opens in Excel 2013 and later and in Excel for the web, and there is no refresh step.

How does the status flag work?

On Target from 100% achievement, At Risk from 95% to 99%, Missed below 95%. The thresholds live in the formulas in columns L and U on the KPI Dashboard sheet, so you can change them to match your own governance.
