The honest position: a PMS knows tonight’s availability and this sheet does not – it reports rather than operates. It earns its place when properties sit on different systems, when an owner wants a single portfolio view, or when you want measures the PMS does not calculate, such as revenue per guest by channel or package revenue share across the group.

Who This Template Is For – and Who It’s Not For

A good fit if you are: a resort or hotel group with two or more properties; a general manager whose PMS reports stop at occupancy and ADR; an owner or investor who wants a monthly portfolio pack rather than a vendor login; a revenue manager comparing channel and package performance; a boutique operator whose properties run on different booking systems.

Not the right tool if you are: looking for a property management system – this reads reservations rather than taking them; needing live availability, rate parity or channel-manager pushes, which are operational jobs a reporting sheet cannot do; or running one small property with a handful of bookings a month, where the dashboard is more machinery than the question needs.

How to Use the Hospitality & Resorts Dashboard

  1. Open the PDF in your download and click the Make a copy link. Google Drive creates your own editable copy.
  2. Read the Instructions page first. Ten points, two minutes, and it explains why the KPI cards show unfiltered totals while the charts respond to slicers – the one thing people misread.
  3. Export your reservations from the PMS and paste them onto the Data sheet, keeping the existing column headers so the pivots, slicers and charts stay connected.
  4. Check the Overview page immediately. Total revenue, reservations and guests will tell you within seconds whether the import landed correctly.
  5. Use the slicers to ask questions. Filter to one resort, one month or one booking channel and all four charts plus the sidebar move together.
  6. Clear a slicer by opening it and choosing Select all. Slicers are per page, so each page keeps its own view.
  7. Use the Search page for single reservations when a guest or an owner queries one stay.
  8. Going past 1,000 rows? Open the Apps Script file, raise DATA_ROWS and re-run main(). Everything below that limit already works with no setup at all.

Real-World Use Cases

A group deciding which property to refurbish. Harbour Point Hotel showed 19.2% of portfolio revenue against Alpine Chalet Lodge at roughly 9%. But revenue per night and average length of stay put the chalet’s shortfall down to volume rather than rate, which moved the conversation from repositioning the property to filling its shoulder season.

A revenue manager pricing channel commission. The Bookings page ranked the direct website at 102,791 against travel agent at 61,705 and the loyalty app at 63,727. Seeing owned channels carry the majority of revenue is what makes a commission negotiation with an intermediary a numbers conversation rather than an argument.

An owner working out the cost of no-shows. A 10.4% no-show rate against an average booking value of 1,055 across 500 reservations is a large, specific figure – and it is one KPI card rather than a week of reconciling PMS exports. The group used it to justify a deposit policy on the two packages where no-shows clustered.

Frequently Asked Questions

Do I need a paid Google Workspace account?

No. A free personal Google account is enough. Click the copy link in the PDF and the dashboard lands in your own Drive with the pivots, slicers and charts working.

Does it connect to my property management system?

No, and that is deliberate. You export reservations and paste them onto the Data sheet, which means the dashboard works with any PMS – and keeps working after you switch systems, which an API-based tool does not. It also lets you combine properties that run on different software.

How many reservations can it hold?

The pivots, slicers and formulas are pre-wired for 1,000 rows, so anything up to that needs no setup. To go further, open the Apps Script file, raise the DATA_ROWS value and re-run main().

Why don’t the KPI cards change when I click a slicer?

By design. The KPI cards and the At a Glance list use SUMIFS and COUNTIFS on the Data sheet so they always show unfiltered totals – the constant you compare against. The charts, pivots and Top 5 panels are slicer-aware and do respond.

Can I add my own resorts, room types or packages?

Yes. They are values in your data, not hard-coded lists. Paste in your own rows and the pivots, slicers and charts pick up whatever property, room type, package or channel names you use.

Does it calculate ADR, RevPAR or occupancy?

It gives you revenue per night, average booking value, revenue per guest, room nights and average length of stay directly. True RevPAR and occupancy need a room-inventory count per property, which is not in the reservation data – add an inventory column and both are a short formula away. Can I share it with an owner without giving them edit rights?

Yes. Use the normal Google Sheets Share button and give view or comment access – which is one of the practical advantages over a PMS whose reports usually need a paid seat per person.
