The Physiotherapy & Rehabilitation Dashboard in Google Sheets turns a flat list of therapy sessions into six linked report pages. The sample file ships with 500 sessions across 8 clinicians, 8 treatment lines, 8 conditions and 3 clinic sites, and the formulas are already stretched to 1,000 rows. Every page carries its own slicers, so a clinic manager can go from “how did we do this year” to “how did Manual Therapy perform at Riverside in September” in about four clicks. It is a one-time purchase, not a subscription, and it opens in the free Google Sheets you already have. If your rows do not load the way the Instructions page describes, email us and we will fix your copy or refund you.Physiotherapy & Rehabilitation Dashboard in Google Sheets

Please read this before you buy. This is a reporting spreadsheet, not clinical software. It has no live connection to any practice-management system, booking platform or medical record. Nothing syncs; you paste or type session rows into a Data tab and the pages recalculate. It is not an EHR, it does not store clinical notes, imaging, prescriptions or medical history, and it does not assess, score or predict anybody’s recovery. “Recovery Rate” is simply a percentage you record against a session — the dashboard averages the number you supply and nothing more.Physiotherapy & Rehabilitation Dashboard in Google Sheets
Key Features of the Physiotherapy & Rehabilitation Dashboard in Google Sheets
- Six linked pages plus a Data tab – Overview, Clinicians, Treatments, Patients, Search and Instructions, all driven by one 16-column table.
- Four KPI cards that follow you – Total Sessions, Total Revenue, Avg Recovery Rate and Avg Satisfaction sit in the left navigation rail and stay visible on every page.
- An “At a glance” strip – Avg session cost, Therapy hours, Active patients and Missed sessions, recalculated from the same rows.
- Slicers on every report page – Month, Clinician, Treatment Type, Condition, Status and Clinic Site, depending on the page. Each page keeps its own selection, so two people can look at two different cuts.
- Fourteen charts built on native pivots – no add-ons, no Apps Script, no external connectors to authorise.
- A Session ID lookup – the Search page pulls a full 16-field session record with INDEX/MATCH wrapped in IFERROR, so a missing ID reads “Not found” instead of a wall of #N/A.
- Top 5 ranking panels – conditions, clinicians, treatments and patients by revenue, each recomputed as you filter.
- A session status mix bar – Completed, Scheduled, Rescheduled, No Show and Cancelled shown as percentages, so missed appointments are visible rather than buried.
- Click-through navigation – the slate rail links straight to each page; no tab-hunting along the bottom of the browser.
What’s Inside the Physiotherapy & Rehabilitation Dashboard in Google Sheets
1. Overview
Clinic-wide performance in one screen. Sessions and Revenue by Month is a combo column-and-line chart; Average Recovery Rate by Clinic renders as three gauges (Central, Northside and Riverside in the sample data); Revenue by Treatment Type is a treemap; Sessions by Clinician is a horizontal bar; Patient Satisfaction by Condition is a scatter. Underneath sit Top 5 Conditions by Revenue and the Session Status Mix.

2. Clinicians
Caseload and schedule reliability per therapist. Sessions by Clinician carries data labels; Sessions by Clinician and Status stacks the five statuses so you can see who is carrying the no-shows; Average Recovery Rate by Month is a line; Revenue by Referral Source is a donut split across GP Referral, Hospital Discharge, Insurance Network, Self Referral and Sports Club. A Top 5 Clinicians by Revenue panel closes the page.
3. Treatments
What each therapy line earns and how long it runs. Revenue by Treatment Type, Session Cost Distribution (a histogram), Revenue by Month, Average Session Duration by Treatment Type, Sessions by Referral Source and Average Satisfaction by Month, plus Top 5 Treatments by Revenue.
4. Patients
Patient Sessions by Month as a labelled area chart, Sessions by Condition as a bar, and Revenue by Condition and Clinic Site as a stacked column so you can see which site carries which caseload. A Top 5 Patients by Revenue panel sits at the foot of the page.

5. Search
Type a Session ID such as SES-0001 and the panel returns that session’s date, clinician, treatment type, patient reference, condition, clinic site, referral source, status, duration, recovery rate, session cost, revenue, satisfaction and month.Physiotherapy & Rehabilitation Dashboard in Google Sheets
6. Instructions
Four numbered steps covering how to load your rows, how the slicers behave, where the pivot tables live (they start at column Z on each page) and how to recolour the rail and charts for your own brand.Physiotherapy & Rehabilitation Dashboard in Google Sheets
Physiotherapy & Rehabilitation Dashboard in Google Sheets vs. an Excel Build vs. a Paid Clinic BI Suite – Where This Fits
| This template (Google Sheets) | An Excel dashboard build | Clinic BI suite (Tableau / Qlik) | |
|---|---|---|---|
| Cost | One payment, no renewal | One payment, or days of internal build time | Per-user licence, billed annually |
| Platform | Google Sheets in any browser | Microsoft Excel on the desktop | Vendor desktop app plus a server or cloud tenant |
| Setup time | Paste your sessions into the Data tab – minutes | Similar, once the workbook is on the right machine | Weeks: data model, gateway, publishing, training |
| Real-time team collaboration | Yes, native to Google Sheets | Only through OneDrive/SharePoint co-authoring | Yes, on the licensed tenant |
| Mobile access | Google Sheets mobile app | Excel mobile app | Vendor mobile app, licence required |
| Customisable fields | Edit the 16 headers and repoint the pivots | Yes | Yes, usually via a modeller |
| Share with a link | Yes, standard Google sharing | File or cloud link | Only with licensed viewers |
| Year-1 cost at 5 users | The purchase price, once | The purchase price, plus existing Office licences | Typically four figures and up |
| Session-level lookup | Built in on the Search page | Depends on the build | Yes, via drill-through |
| Connects to a booking or practice system | No – you paste or export rows in | No, unless you build the query | Yes, with a connector and an integration project |
The honest summary: a paid BI suite wins the moment you need automatic refresh from a live clinical system. If your reporting starts with an export or a shared sheet the front desk already keeps, this template gets you to the same picture without the licence.
Who This Template Is For – and Who It’s Not For
A good fit if you run a single physiotherapy practice or a small group of two to five sites; you already keep session records in a sheet or can export them from your booking tool; you want a monthly management pack for a partners’ meeting; or you are a rehabilitation service that reports caseload, revenue and satisfaction to a board.
Not the right buy if you need live sync from a practice-management or booking system – nothing here refreshes on its own. It is also the wrong tool if you want to run appointments rather than report on them (look at the Physiotherapy Clinic Management System Web App instead), if you need clinical documentation of any kind, or if you have far more than 1,000 sessions a period and would rather not extend the ranges yourself. And if what you actually want is a month-picker scorecard with traffic lights rather than an analytical dashboard, the Rehabilitation Center KPI Dashboard in Google Sheets is the different product you are looking for.Physiotherapy & Rehabilitation Dashboard in Google Sheets
How to Use the Physiotherapy & Rehabilitation Dashboard in Google Sheets
- Open the PDF in your download and click the copy link. That creates your own editable copy in your Google Drive.
- Open the Data tab and replace the sample rows from row 2 down. Keep the 16 headers exactly as they are – Session ID, Date, Clinician, Treatment Type, Patient, Condition, Clinic Site, Referral Source, Status, Duration (Mins), Recovery Rate (%), Session Cost, Revenue, Satisfaction, Month and Count.Physiotherapy & Rehabilitation Dashboard in Google Sheets
- Never leave Session ID blank. It is the key the pivots use to ignore empty rows and the key the Search page looks up.
- If you would rather not hold patient names, put an internal reference in the Patient column – a case number or initials. Every chart and panel works the same way; the column is only ever used as a label.
- Refresh the pivots (Data > Refresh, or just reopen the file) and click through the six pages.Physiotherapy & Rehabilitation Dashboard in Google Sheets
- Recolour the rail, the KPI cards and the chart palette to match your practice, as step 4 of the Instructions page describes.
Real-World Use Cases
Priya runs a three-site physiotherapy group. She exports last month’s completed and cancelled sessions on the first Monday, pastes them over the Data tab, and takes the Overview and Clinicians pages into the partners’ meeting. The Session Status Mix bar is the slide that changed behaviour: seeing no-shows as a share of all bookings, rather than a raw count, made the reminder-call rota an easy decision.Physiotherapy & Rehabilitation Dashboard in Google Sheets
Daniel is a clinical lead at a rehabilitation service. He filters the Treatments page to one therapy line at a time to compare average session duration against average session cost, then uses Revenue by Condition and Clinic Site on the Patients page to argue for a second aquatic slot at the site carrying the most post-operative work.Physiotherapy & Rehabilitation Dashboard in Google Sheets
Meera is a practice administrator. She lives on the Search page. When a patient queries an invoice she types the Session ID from the paperwork and reads the date, clinician, duration and revenue back in one screen, without scrolling a thousand-row sheet.
Frequently Asked Questions
Is this an electronic health record or a patient management system?
No. It is a Google Sheets reporting template. It holds no clinical notes, diagnoses codes, medication, imaging, contact details or payment records, and it cannot book, bill or document care. It reads one flat table of session rows and charts them.
Does it connect to my booking or practice-management software?
No. There is no connector, no API and no scheduled refresh. You paste or import rows into the Data tab yourself. That is a deliberate design point: nothing here needs access to a clinical system, so there is no integration to approve and no live link to a patient database.
Does it store patient data?
Only what you type. The sample file uses invented patient names purely as row labels. Because the Patient column is used as a label and nothing else, most practices replace it with a case reference or initials and lose no functionality. What you put in your own copy, and who you share that copy with, is entirely under your control in Google Drive.
What does “Avg Recovery Rate” actually calculate?
It is the plain average of the Recovery Rate (%) column you fill in. The template applies no clinical scoring, makes no prediction and passes no judgement on a course of treatment – it reports back the numbers your clinicians recorded.
How many sessions can it hold?
The pivots and the Search formulas are set to A1:P1001, which is 1,000 sessions. The sample file uses 500 of them. Beyond that you extend the ranges yourself.
Do I need Excel or any paid add-on?
No. It runs in the free Google Sheets. There are no add-ons, no Apps Script and no macros – the charts are native Google Sheets pivot charts.
How is this different from the KPI Dashboard and KPI Scorecard versions?
They are three different templates. This one is the analytical dashboard: six pages, slicers, ranking panels and a session lookup. A KPI Dashboard is a month-picker scorecard with traffic lights and dedicated trend pages. A KPI Scorecard is a target-versus-actual sheet. Buy the one that matches the meeting you have to run.
