How to Use the Hospital Bed Turnover Calendar in Excel
- Unzip the download to a real folder – not inside the ZIP – then right-click the workbook, choose Properties and tick Unblock.
- Open it in Excel for Windows and click Enable Content. Macros are required; without them the buttons, the entry form and the Daily View refresh do nothing.
- On the Setting sheet set your Year, start month and week-start day. The Annual View and Monthly View follow immediately.
- Delete the 100 sample rows on the Events sheet once you have looked at them, then add your own with Add New Record.
- Use the Location column as your unit name – ward, ICU, theatre recovery or isolation bay – because the This Month page groups by it.
- Set the Daily View dates to tomorrow’s shift, click refresh, and print that sheet for the housekeeping team.
- Save as .xlsm or .xlsb. Saving as .xlsx silently removes every macro and button.

Is this an EHR, a bed-management system or a patient-flow tool?
No. It schedules turnover rounds and nothing else. It does not track patients, admissions, discharges or transfers, does not show live bed status, does not connect to an ADT feed or any hospital system, and produces no clinical or regulatory report. Keep all of that in the platform your hospital already runs.
Does it store patient data?
No. The Events sheet is only ID, Date, Day, Event Name, Time, Location and Description, and we checked all 100 shipped rows: no patient name, no MRN, no date of birth, no diagnosis and no contact detail appears anywhere. The Description column is free text, so if you type an identifier into it, it will be stored in plain text in a local file – use a ward or an internal code instead.
Can it calculate bed turnaround time?
No, and this is the honest limit worth knowing before you buy. Each row has one start time and no end time or duration field, so the workbook cannot measure how long a bed took to turn around, and it reports no occupancy rate. It plans the round; it does not time it.
Is it HIPAA, GDPR, Joint Commission, NABH or CQC compliant?
No. It is a spreadsheet, not a certified system, and it has never been validated against any of those standards. Nothing in it satisfies an accreditation requirement, and your own compliance obligations are unchanged by using it.
Will it remind me about a round?
No. There are no reminders, no notifications, no email or SMS alerts and no calendar sync. You open the file and look at it.
Does it work on Mac, on iPad, or in Excel for the web?
No. The navigation buttons, entry form and theme switcher are VBA with ActiveX controls, which need Microsoft Excel on Windows desktop.

Yes, and the Daily View and This Month list both show them. Note two limits: the Monthly View grid shows only the first event on a date plus an “N more…” counter, and the summary panel is labelled Top 5 Locations, so it lists five even when Locations Used reads eight. The shipped sample carries exactly one round per date, so that counter never fires until you add a second.
What are the other honest limitations?
There is no status field, so a round cannot be marked done, missed or cancelled. There is no bed or room number field – Location is a unit. Nothing prevents double-booking a cleaning team. The Daily View and This Month pages are macro-built, so they only update when you click refresh or change the month.
